Description
Robert Half is representing a client in search of a Service Coordinator to join their property management division. The ideal candidate is dependable, detail-oriented, and a self-starter, with excellent customer service skills and the ability to collaboratively support the property management team. Key Responsibilities:
+ Answer tenant service calls and dispatch service personnel as instructed by the Property Manager.
+ Organize, file, and maintain property-related documentation, such as Certificates of Insurance (COIs), lease agreements, and expense documents, in electronic storage systems.
+ Assist with property inspections and maintain follow-up records to address unresolved issues promptly.
+ Track tenant service requests, ensure completion, and monitor service response times.
+ Aid in budgeting and reforecasting by organizing vendor contracts, cost histories, and service-related logs.
+ Support capital improvement planning by updating project schedules and timelines.
+ Monitor recurring expenses, follow up on missing invoices, and track related activities.
+ Update and manage relevant databases, including mailing lists, tenant contacts, and client details.
+ Draft, distribute, and manage correspondence, reports, and other property-related documents.
+ Track critical property deadlines, such as tax filings, permits, and compliance testing (e.g., fire alarms, elevators).
+ Coordinate with vendors, utility providers, and tenants to address issues and maintain relationships.
+ Manage certificates of insurance and other key documents, including lease summaries.
+ Assist with rent collection, minor account discrepancies, and tenant relations.
+ Facilitate the bid process for contracted services.
+ Work on special projects under the direction of the Property Manager.
+ Liaise with building staff and contractors, such as janitorial, security, and landscaping service providers.
+ Calculate utility chargeback amounts based on sub-meter readings.
+ Compile and organize reports for distribution.
+ Handle other duties as assigned by the Property Manager.
Requirements
Qualifications:
+ Minimum 3 years of administrative or customer service experience preferred.
+ High school diploma required; some college or college degree preferred.
+ Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Adobe Acrobat.
+ Strong organizational and communication skills, with the ability to convey information clearly in writing and orally.
+ Ability to manage multiple tasks in a fast-paced environment, prioritize effectively, and adapt to changing deadlines.
+ Must be detail-oriented and capable of exercising sound judgment.
+ Ability to maintain confidentiality and handle sensitive information.
+ Reliable attendance and a strong work ethic.
+ Familiarity with office equipment and the ability to understand and apply lease requirements.
+ Valid driver’s license, reliable transportation, and proof of insurance required.
+ Familiarity with commercial lease terms and basic accounting principles is a plus.
+ Capable of building professional relationships with vendors, tenants, and regulatory agencies.
