Water Quality (‘WQ”) Platform is part of the Environmental & Applied Solutions reporting segment and is a global leader in water quality analysis and treatment, providing instrumentation and disinfection systems to help analyze and manage the quality of ultra-pure water, portable water, wastewater, groundwater, and ocean water in residential, commercial, industrial, and natural resource applications. About Role 

ROLE DESCRIPTION  

The Service Administrator provides comprehensive administrative and coordination support to the Bench (Inside) Service team and Field Service team. This role ensures smooth delivery of service activities by managing service requests, coordinating schedules, supporting customer communication, processing documentation, and assisting with service contract management. The position plays a key role in delivering a high standard of customer service to internal and external stakeholders across Australia and internationally.

What You'll Be Doing (Job Responsibilities)

Service Request Management

Receive service requests via phone, email, or system notifications and enter them accurately into ServiceMax.

Review, validate, and update service order details to ensure correct information is available for scheduling and billing.

Scheduling & Coordination

Assist with scheduling field service activities, ensuring alignment with technician availability, customer readiness, and priority requirements.

Liaise with customers to confirm commissioning schedules, site access requirements, and any pre-service prerequisites.

Coordinate with service technicians and internal teams to ensure timely completion of service orders.

Customer Service & Communication

Provide high‑quality customer service to both internal and external stakeholders, including domestic and international customers.

Respond promptly and professionally to customer enquiries regarding service status, quotes, contracts, and product support.

Maintain strong communication channels between customers, field staff, and internal departments.

Service Contracts

Process service contract renewals, ensuring documentation and system updates are completed accurately.

Support promotion of service plans and contract offerings.

Billing & Administrative Support

Act as liaison between customers and field technicians to reconcile service billings and resolve discrepancies.

Release service orders in the system to prepare them for scheduling or repair.

Maintain organised filing systems (digital and physical) for service documentation, contracts, and customer records.

What We Are Looking For (Skills & Qualifications)

High school or Diploma or equivalent combination of education and experience.

Minimum 2 years' experience in a Customer Service or Service Administration role.

Minimum 5 years’ experience in an administrative role.

Experience with Oracle, ServiceMax, or similar service management/ERP systems is highly desirable.

Excellent written and verbal communication skills.

Strong organisational skills with high attention to detail.

Competency with Microsoft Office suite, particularly Excel and Outlook.

Ability to work in a fast‑paced environment and manage multiple priorities.

Proven ability to build rapport with customers and internal stakeholders.
