The Service Administrator position is located in our Dartmouth, NS office with a focus on supporting and facilitating the Service team. This will be accomplished through performance of administrative duties ensuring that standard company procedures and specific instructions are followed. This Administrator role reports to the Service Coordination Supervisor and is responsible for assisting in client database entry and maintenance in our computer-based program (JD Edwards). Duties and requirements include but are not limited to- professional customer service and phone etiquette, dispatching work orders, entering purchase order requests, managing work in progress reports (WIPS) and supporting our OPS supervisor and service foreman/technicians.

Summary of Duties:

First point of contact for the service line (dispatch, opening work orders, creating PO’s, service calls and general customer inquiries)Support technicians with dispatch and scheduling of service calls, maintenance work and planned repairsMaintain training matrix for service technicians-book training courses and travel as requiredEngagement and support for NS service shared general inboxSupport for FMO administrators, as requiredAdministrative support for managers, supervisors, working foreman and service techniciansAttend weekly WIP meetings with OPS supervisor and working foreman assisting in management of the WIP reportsAdding new vendors and customers to JD EdwardsManage PO RNV (purchase order-received not yet vouchered) report for service techniciansRespond to inquiries regarding accounts payable/receivablePrepare customer reports as required

Administration or Accounting Certificate/Diploma would be considered an asset, but not required

Previous experience in customer service and client interactionAdministration experience would be considered an assetKnowledge and/or experience in accounting would be considered an assetJD Edwards or similar CRM experience would be considered an asset
