General Information:
The Service Administrator connects local operational support of the service team with strategic support at the regional and global level. Their work enables the smooth operation of service processes.
Main responsibilities (local level):
Processing requests from customers and colleagues via e-mails, phone, and internal systems
Checking the accuracy and transfer of service technicians’ work reports
Recording, monitoring, setting up, and maintaining data on sold, loaned, and returned medical devices in accordance with current commercial or service contracts
Coordination with local suppliers and partners (e.g., for calibrations, tools, service activities)
Management of service contracts (record-keeping, updates, support in drafting new contracts, invoicing)
Onboarding of new suppliers and evaluation of existing technical service suppliers
Cooperation in organizing meetings and preparing meeting minutes
Organization of inventories of service technicians’ consignment stock
Cooperation with the accounting department on inventories of medical devices and service tools
Preparation of price offers for repairs or other service activities for customers
Main responsibilities (regional/global level):
Active participation in global and regional projects (e.g., implementation and migration to new systems) and subsequent sharing of best practices among countries within the cluster
Cooperation on process analyses (Power BI, database programs)
Preparation and management of data for key performance indicators (KPIs) in Service Administration
Cooperation on process analyses (e.g., contract coverage, device costs, etc.)
Organization and facilitation of regular service community meetings at the regional level
Harmonization and streamlining of administrative processes among countries within the cluster
Required qualifications, knowledge, and skills:
Secondary school education
English at a communicative level (daily written and spoken communication)
Good communication skills, accuracy, responsibility, systematic approach
Very good knowledge of MS Office
Good orientation in applications and database programs (SAP, SharePoint, Teams)
