This role is a great opportunity for a student or early-career professional who is looking to gain practical experience in supply chain and procurement. As a Supply Chain Assistant, you will support the Supply Chain Senior Officer in daily tasks while ensuring compliance with internal controls, including segregation of duties. You’ll be responsible for procurement documentation, supplier communication, and various logistical tasks.
We are looking for someone organized, proactive, and ready to pick up the phone and call suppliers when needed. If you are currently studying at a technical university and want a practical entry point into supply chain work this is the role for you.
Key Responsibilities
Procurement Support
- Create Purchase Orders (Pos) based on approved Purchase Requests (PRs)
- Assist in bid evaluation and selection processes using predefined criteria
- Prepare and collect signature for Code of Conduct (CoC) and Due Diligence documents
- Support supplier market assessments and procurement health checks
- Facilitate RFP processes, including document preparation and follow-ups
- Track and manage procurement agreements and renewals
Supplier & Data Management
- Communicate directly with suppliers to clarify documentation, follow up on quotes, or confirm deliveries
- Submit vendor creation requests using internal systems
- Ensure proper documentation and compliance in all procurement files
Payment & Documentation
- Review invoices summaries and provide input or clarification as needed
- Track procurement payments in coordination with the finance team
Asset & Facility Support
- Order and receive office assets and supplies
- Prepare asset forms and assist with physical asset counts
- Coordinate domestic and international shipments
Job Requirements:
- Student in a technical university program (eg, Logistics, Engineering, Supply Chain, Economics, Management)
- Analytical and strong organizational skills
- Comfortable with proactive communication – especially calling and following up with suppliers
- Basic understanding of Excel and general office software
- Eagerness to learn and grow in a professional setting
- Attention to detail and ability to handle documentation accurately
- Polish at least C1, knowledge of Belarusian or Ukrainian is an advantage
- Nice to have but not required: Previous internship or experience in procurement, logistics, or supply chain.
