Main duties :

Financial

To develop in conjunction with the Director of Sales a structured, timely, achievable personal business plan. To support staff needs in other divisions based on the hotel priorities and anticipated business levels. To maintain complete and supported records of all sales agreements, contracts and quotes for the hotel as per Hyatt International policies and procedures. To have a good understanding of contribution margins for each product result and work with respective heads of departments to maximize operating results. To achieve targets in terms of number of new active accounts, room nights, banquet covers and revenue as set by the Director of Marketing. To submit monthly entertainment schedule to the Director of Sales for approval.

Administration

To ensure that an efficient and accurate filing system, both manual as well as electronic, is maintained at all times. To manage Opera records of all corporate and group accounts. To attend weekly Sales and Marketing meeting. To ensure that all meetings are well planned, efficient and results oriented. To keep and to safeguard all contracts and financial documents.

General

To understand and strictly adhere to the rules and regulations established in the Associates Handbook and the hotel's policy on fire, hygiene, health and safety. To report for duty punctually wearing the correct uniform and name badge at all times in accordance with Hyatt's grooming standards. To maintain a high standard of personal appearance and hygiene at all times. To maintain a good rapport and working relationship with staff in the department, colleagues and all other departments. To attend and contribute to all staff meetings, departmental and hotel trainings scheduled and other related activities. To fully support the departmental training function in the department assigned. To undertake any reasonable tasks and secondary duties as assigned by Director Sales or Associate Director of Sales. To respond to any changes in sales function as dictated by the market and the hotel. To project at all times a positive and motivated attitude and exercise self-control. To have a complete understanding of the Income Audit Section in the Operations Manual and policies and procedures. To handle guest and associate inquiries in a courteous and efficient manner and report guest complaints or problems to supervisors if no immediate solution can be found and assure follow up with guests. To provide a courteous and professional service at all times. To attend all meetings as required by leadership management. To conduct monthly staff meetings. To ensure that the place of work and surrounding area is kept clean and organized at all times.

Associate handling

To identify training needs and plan training programs for the associates. To ensure that the departmental associates are multi-skilled and have the necessary skills to perform their duties with maximum efficiency, through consistent training in accordance with the annual training plan. To assist in the training of team members (Sales Executives) as part of the effort to build an efficient team and to be able to take an active interest in their individual development and welfare. To ensure that all associates provide a courteous and professional service at all times. To supervise the associates within the department, ensuring that the correct standards and methods of service are maintained as stated in the Department Operations Manual and Credit Manual. To ensure that all associates maintain a high standard of personal appearance and hygiene at all times. To ensure that all associates report for duty punctually wearing the correct uniform and name badge at all times in accordance with Hyatt's grooming standards. To assist in the building of an efficient team of associates by taking an active interest in their welfare, safety and development. To ensure that all associates have a complete understanding of and adhere to the hotel's Associate Rules and Regulations. To ensure that all associates have a complete understanding of and adhere to the hotel's policy relating to fire, hygiene, health and safety.

Operational

To systematically and efficiently call on prioritized accounts in your assigned territory and report findings and opportunities to the Director Sales. To define and target key accounts in your assigned territory, utilizing the Net Delphi database and develop appropriate and effective sales solicitation strategies in accordance with the principles of smart selling. To review guestroom and function rooms blocked by you and your assigned staff weekly to ensure that all business on the books is live and traced, tracked for confirmation. To continuously add and update the perpetual database of local group, catering and conference leads and ensure implementation of an efficient and targeted acquisition program. To entertain potential and current customers based on business priorities. To ensure a high level of exposure for the hotel through direct sales solicitation, telephone contact and written communication. Ninety percent of own time you are to be dedicated to direct acquisition activities, individually or with the sales team. To review sales files to ensure correct booking procedures, including group room and meeting program history, contractual agreements, room block analysis, etc. To ensure that all credit and collection procedures that have been established by the hotel are implemented following the established Credit Policies and Procedures. To attend monthly credit meetings, with Leadership Committee members, ensuring that all necessary follow up is presented in a concise and efficient manner. To ensure that all sales contracts follow the established hotel policies and procedures and are based on sound commercial judgment. To ensure that the sales team projects a warm, professional and welcome image. To be demanding and critical when it comes to departmental standards.

Other duties

To carry out quarterly, bi-yearly, yearly inventory of operating equipment. To carry out any other reasonable duties and responsibilities as assigned. About the Company

Hyatt was founded by Jay Pritzker in 1957 when he purchased the Hyatt House motel adjacent to the Los Angeles International Airport.
