Senior Receptionist & Switchboard Operations MS Onsite
Position Profile

The Senior Receptionist plays a key role in maintaining a professional image of the company by delivering prompt, courteous, and efficient service to visitors, guest employees, and telephone callers. This role also includes light administrative duties and switchboard operations, requiring a high level of customer service and professionalism.

Key Responsibilities Greet visitors, issue Visitor Badges, and assign wireless network accounts as needed. Activate temporary access badges for employees with lost or malfunctioning badges. Answer and route global calls, including confidential inquiries, using the company-wide switchboard. Prioritize and escalate customer service issues appropriately. Maintain and update company phone and speed dial lists. Train backup personnel and provide guidance on policies and procedures. Notify employees of inbound deliveries or redirect to the Mail Room. Provide light administrative support (e.g., issuing access cards, scheduling meeting rooms, compiling materials). Proactively seek additional tasks during downtime. Follow up on loaned access cards and coordinate with Security for unreturned items. Build professional relationships with internal teams and customers. Maintain a clean and organized reception area. Perform other duties as assigned by the Site Manager. Qualifications High school diploma required. Experience in a headquarters environment preferred. 8+ years of receptionist experience in a busy switchboard setting preferred. Typing speed of 40 WPM. Flexibility to work shifts between 7:00 AM and 5:00 PM (standard 8-hour shift). Knowledge, Skills & Abilities Strong verbal and written communication skills. Excellent customer service and interpersonal skills. Proficiency in PC usage and basic clerical tasks. Ability to manage high-volume telephone calls. Strong organizational and judgment skills. Working Conditions & Physical Demands Office environment with standard lighting, ventilation, and noise levels. Diverse work assignments requiring comprehension and application of complex information. Minimal physical effort; mostly sedentary with occasional walking, standing, and light lifting (<10 lbs). Moderate dexterity required for regular use of keyboard, calculator, and other tools.
