About the Program 

The Australia Papua New Guinea Economic Partnership (APEP) known as “The Partnership” is a multi-sectoral investment to assist GoPNG to create a stable and more prosperous country. The investment is the main vehicle and coordination point from which Australia delivers its economic development aid to PNG and is the primary vehicle to implement Comprehensive Strategic and Economic Partnership (CSEP). 

“The Partnership” contributes to the achievement of the following overarching goal: a resilient and diversified economy that provides a high quality of life for all Papua New Guineans. 

The Partnership’s overarching policy objective is to assist PNG in its efforts to achieve sustained growth, capable of lifting the standard of living of all citizens, while also ensuring Australia maintains its reputation as PNG’s economic partner of choice. 

The Partnership is a multi-sector investment with gender equality, disability social inclusion (GEDSI) and women’s economic empowerment (WEE), climate as well as economic dialogue and open government, positioned as cross-cutting objectives working across all engagement areas.

 

 

About the Opportunity 

The Senior Program Coordinator will work within the APEP Coordinator Team and will be responsible for providing-high level coordination and support to the APEP workstreams. This will involve inter-facing with the APEP Director, the Team Leaders and the entire APEP team, including short- and long-term advisors in providing the necessary support services.

 

 

Key responsibilities 

Assign and track requests received by the coordinators, including requests for event planning, logistics, travel, and other requests as required to distribute responsibilities and achieve shared duties. Provide high standard of written work, including preparation of briefs, weekly operational updates, meeting agendas & minutes, and contributions to program reporting. Coordinate tracking and monitoring of program personnel and advisers (e.g. Timesheets, Leave, Travel Calendar, and report submission). Work closely with program and Abt staff to ensure compliance with operational & program systems, policies, and processes. Promote value for money (VfM) principles across all aspects of program operations. Integrate and promote principles of gender equity, social inclusion and empowering women and girls, in all aspects of this Senior Program Coordinator role. Provide administrative support to APEP Director including scheduling meetings, coordinating monthly town hall meeting, and other tasks as required.  Other duties as directed.

 

 

Key deliverables

Establish and maintain systems and processes to ensure efficient and effective procedures allow for ease of program implementation. Ensure all staff maintain operational deadlines through coordination and trackers to ensure strict adherence to Abt policies (e.g. submission of Timesheets). Mentor Coordinators on tasks and responsibilities, including coordination on accomplishing shared duties. Track, mitigate, and report on operational risks in support of achieving program activities. Support coordination tasks, including the organisation of meetings, secretariat services, events and seminars. Explore and recommend avenues for integrating cross-cutting priorities such as the empowerment of women and girls, child protection, and social inclusion, when executing the role and providing assistance to program teams. Assist program and cross-cutting teams with operational tasks such as Procurement Quotations, Recruitment, ICT, Training, Travel, Events, Advisors coordination and general advice where possible.

About You 

For applications to be considered, a response to the key selection criteria below must be provided. 

Relevant university qualifications in a relevant field (such as international development, public administration, economics, or business)  A minimum of 5 years’ experience in a program coordination, management or administration role (or equivalent) Experience working in a diverse team and coordinating program administration  Strong communication and writing skills including the preparation of minutes, reports, and briefs for internal and external stakeholder audiences Ability to work effectively in a fast-paced and changing environment and to handle multiple tasks and demands, and establish priorities Excellent computer proficiency, particularly in MS Office
