Our client, an established private wealth management firm with a reputation for long-term client relationships and sophisticated portfolio strategies, is seeking a Senior Portfolio Administrator to join their high-performing Private Client team in Vancouver. This senior-level role offers the opportunity to lead and optimize key operational functions and contribute meaningfully to the seamless delivery of an exceptional client experience.

Senior Portfolio Administrator responsibilities:
Lead administrative execution for a portfolio of high-net-worth clients, foundations, trusts, and family enterprises, ensuring proactive, accurate, and compliant support across all account types. Oversee and refine the full client lifecycle administration process: new client onboarding, account structuring, documentation updates, account closures, and inter-institutional transfers. Ensure meticulous documentation and data integrity using CRM (preferably Salesforce) and internal portfolio management systems; recommend and implement system/process improvements where applicable. Collaborate with advisors to develop and polish customized client-facing materials, proposals, investment decks, and strategic communications. Coordinate and oversee transaction execution by managing documentation flow and ensuring accurate, timely settlement of funds and securities. Serve as a senior liaison for complex client inquiries, offering elevated support with sensitivity, confidentiality, and professionalism. Manage relationships with custodians, external consultants, and service providers to ensure effective communication and issue resolution. Mentor and support junior administrative staff in maintaining workflow efficiency and adherence to compliance requirements. Proactively identify operational bottlenecks and implement best practices to drive administrative excellence and risk mitigation. The successful candidate has: Minimum 5–7 years of progressive administrative/operational experience in a wealth management, investment advisory, or financial services environment with demonstrable long-term tenure in previous roles. Deep working knowledge of a wide array of account types, including: Taxable (Non-registered), Corporate/Holdco, RSPs (Spousal, Restricted, Locked-in), RIFs (Spousal, Locked-in), TFSAs, RESPs, FHSAs, RDSPs, Informal & Formal Trusts, Estates, and Foundations. Strong understanding of investment-related concepts such as: Capital gains/losses, types of investment income, mutual funds, Power of Attorney processes, AML (Anti-Money Laundering), and KYC (Know Your Client) compliance. Completion of or enrollment in the Canadian Securities Course (CSC) is preferred; must be completed post-probation if not already held. Advanced proficiency with Microsoft Office (particularly Excel and PowerPoint), Adobe Acrobat, and experience using Salesforce or similar CRMs. Exceptional attention to detail, organizational acumen, and time management skills. Professional communication style with a proven ability to manage multiple priorities and deliver under pressure.   Compensation and Benefits: Competitive salary of $80,000 - $100,000, commensurate with experience 3 weeks of vacation.
