Senior Payroll Administrator
Job Title: Senior Payroll AdministratorJob Description We are seeking a dedicated Senior Payroll Administrator to ensure timely and accurate payroll processing across multiple provinces, countries, and business lines. This role supports payroll policy development, drives improvement initiatives, and leads the resolution of complex payroll matters. The ideal candidate will exhibit a collaborative, professional, and service-oriented approach in interactions with business partners, utilizing strong communication skills and exceptional attention to detail. Responsibilities + Perform bi-weekly and weekly payroll pre-commit audits for all pay groups, providing team leadership, guidance, and oversight. + Enter and approve Quick Entry (QE) forms in the Payroll Import Tool (PIT) for processing in Ceridian. + Conduct payroll data reviews for discrepancies, such as negative balances or rate mismatches. + Coordinate manual check imports, off-cycle requests, ROEs, and stop payment cases with Ceridian. + Prepare, review, and post payroll-related journal entries to the accounting system. + Audit timesheets and cohesion imports; reconcile variances between systems. + Review negative YTD balances and process adjustments as necessary. + Investigate unusual transactions, such as invalid payouts or duplicate entries. + Serve as the primary point of contact for payroll-related queries via email and Microsoft Teams. + Collaborate with HR teams to correct employee data issues and resolve payroll data or configuration issues. + Respond to Service Canada and Ceridian cases, ensuring timely and accurate resolution. + Prepare and review payroll reports, including PIER, GL journal entries, and earnings summaries. + Lead data reconciliation between internal systems and third-party systems like Cohesion. + Manage quarterly and year-end processes, including calendar setup and discrepancy resolution. + Participate in the configuration and implementation of new pay codes, rules, and holiday policies. + Draft and maintain current training materials for payroll and HR teams. + Lead, mentor, and coach newer or less experienced team members. + Coordinate with internal teams and Ceridian Managed Services to resolve issues. + Leverage advanced payroll systems knowledge to enhance department efficiency. Essential Skills + Bachelor's degree in a related field. + 5+ years of payroll experience, with progressive responsibilities. + Payroll Compliance Professional (PCP) Designation. + 2-3 years of experience with payroll systems such as Ceridian or ADP. + Intermediate Excel skills, including data management and formula proficiency. + General understanding of accounting principles, including debit credits, accruals, and reconciliations. Additional Skills & Qualifications + Knowledge of Ceridian and ability to train and coach staff. + Undergraduate degree in Accounting, Finance, or HR. + Experience with Ontario, BC, or Quebec payroll. + Familiarity with Microsoft D365. + Strong written and verbal communication skills. + Excellent organizational and time management abilities. + Ability to work independently with minimal supervision. + Proactive, ambitious, and growth-oriented. + Flexible and adaptable to team dynamics. Work Environment The role reports directly to the Payroll Manager and is part of a team of five. The position follows a hybrid working model, requiring four days in the office and one day from home. The standard workweek is 40 hours, with occasional additional hours during payroll periods and year-end. Start times are generally at 9 AM, with flexibility to support various time zones. The company operates with an outsourced payroll provider, but the internal team handles processing for 12,000 employees across North America on a bi-weekly payroll cycle. The team enjoys a dynamic and fun work environment with opportunities for growth within a large, stable organization.
