This multifaceted role includes office management, cross-functional administrative support, and executive assistance, all focused on driving the efficient and seamless operation of the office. In this role, you will oversee the development and maintenance of administrative systems, processes, and resources to align with and support the organization’s goals. In this pivotal role, you will deliver comprehensive administrative and operational support by overseeing office services and supplies, facilitating communications and logistics, and ensuring adherence to company policies and standards. Serving as a central liaison for staff, management, program teams, and external partners, you will be instrumental in cultivating a professional, organized, and efficient workplace. This position is in our Doha, Qatar office and report directly to the Qatar Managing Director. **What You Will Do** _Cross-Functional Coordination:_ + Facilitate collaboration across programs and teams by tracking action items, managing meeting schedules, and supporting leadership teams in Qatar, internationally, and with external stakeholders. + Streamline reporting processes and provide functional updates to the Managing Director. + Develop and maintain tools to monitor tasks and ensure timely follow-up on priorities. + Act as the central point of contact for cross-functional and inter-program coordination. + Track deadlines, escalate issues as necessary, and align team priorities to meet organizational objectives. + Work closely with teams in Qatar and the U.S., including Requirements & Capabilities, HR, Finance, Global Trade, Supply Chain, and Digital Technology. + Coordinate and organize quarterly reviews, monthly operations reviews, and weekly schedules, ensuring timely submission of reports to Raytheon Sub-Business Units. + Maintain accurate records, monitor deadlines, and provide leadership with updates on task progress and employee readiness. + Partner with Security, Requirements & Capabilities, and the Managing Director to coordinate senior leadership engagements in Qatar. + Oversee the management and compliance of Export Control information and support program coordination activities. _Office Management:_ + Ensure efficient management of office space and address all operational needs. + Supervise subcontractors and coordinate visits from external office guests. + Oversee the Visitor Management System to ensure seamless operations. + Manage office maintenance requirements and address issues as needed. + Administer the routine office supplies budget and establish compliant processes in alignment with RTX standards for office orders. _Travel & Expense Coordination:_ + Plan and coordinate both domestic and international travel while ensuring compliance with export/import regulations and requirements. + Prepare, review, and reconcile expense reports accurately, ensuring timely submissions and adherence to all organizational and program policies. **Qualifications You Must Have:** + AA/AS degree (or other 2-year post high school training) with a minimum of 2+ years of relevant experience. + Experience collaborating with multiple suppliers and internal stakeholders. + Experience with data analysis and process improvement. + Experience coordinating multiple tasks and projects simultaneously. + Ability to access ITAR (International Traffic in Arms Regulations) and EAR (Export Administration Regulations)-controlled technical data. + Proficiency in Microsoft Office tools, including Excel, Word, and PowerPoint. + Eligibility to obtain and maintain Raytheon-issued work authorization and any required local permits in Qatar. + Must hold a valid Qatar Residence Permit and a Qatar Driver’s License, along with reliable transportation. + Fluency in both written and spoken English. **Qualifications We Value:** + Background in working with U.S. government contractors or experience within the defense/aerospace sector. + Familiarity with U.S. government acquisition and procurement regulations, such as FAR and DFARS. + Understanding of Qatari regulations and local business practices. + Awareness of Qatar's customs and cultural norms. + Demonstrated ability to collaborate effectively across various functions with a proactive mindset. + Strong attention to detail, exceptional organizational skills, and the ability to manage multiple tasks concurrently. + Excellent communication and interpersonal abilities. + Proficiency in Arabic is a plus. **What We Offer** + Our values drive our actions, behaviors, and performance with a vision for a safer, more connected world.
