Job SummaryThe Office of Medical Student Education (OMSE) seeks an experienced administrator who will bring leadership, expertise, and a passion for students to the OMSE - Student Affairs unit. The successful candidate will provide oversight and direction to the staff within the unit, while partnering with the Assistant Dean for Student Affairs to advance the strategic programs and services that support medical students from matriculation through commencement.
The Senior Manager of Student Affairs is a hybrid position requiring on average 3 days/week onsite. Seasonal events and activities require some in-person work on nights and weekends.

In direct collaboration with the Assistant Dean for Student Affairs, provide leadership, strategic planning, and oversight to the administrative operations of the Office of Medical Student Education - Student Affairs unit. Mentor and coach staff to best position employees and resources to deliver student affairs programming and resources, such as: counseling and academic success, medical student career development, residency match program, medical student healthcare, registration and records, financial assistance, wellness and mental health services, and specific programming related to student academic and personal needs while enrolled as a member of the medical student body and Michigan Medicine community. Streamline and align roles/responsibilities of Student Affairs units and associated staff to best support new curricular elements and student services programming. Hire, train, and supervise assigned staff; foster a team-oriented culture, maintain and share information with colleagues as appropriate, develop work plans, complete mid-year and end-of-year performance evaluations, provide timely feedback, and establish individualized professional development plans. Provide mentorship and guidance to staff. Advise and coach new supervisors.Organize and help run annual Student Affairs staff professional development trainings in areas like communication and team building, process improvement, organization and accountability, etc. Advise faculty and administration on Student Affairs best practices, including FERPA, financial assistance, and enrollment.Partner with Assistant Dean for Student Affairs and OMSE Administrative Director to plan, forecast, and develop budgets for existing and new Student Affairs programs. Assist with OMSE fiscal stewardship by maintaining established central supply cost controls, managing existing vendor contracts, and approving expense reports.Manage and facilitate the establishment of medical student clinical training affiliation agreements with partner institutions. Collaborate with the Office of General Counsel and Executive Vice President of Medical Affairs/Medical School Dean?s Office to ensure agreements align with Michigan state law and the roles and responsibilities of the institution.Student Affairs Management and Review
In partnership with the Assistant Dean for Student Affairs and Student Affairs unit managers, oversee continuous management and quality improvement review of operations within Registration and Records, Medical Student Counseling and Advising, Learning and Accessibility, and Special Programs (e.g. Residency Match, Career Seminars).Operationalize new programs and quality improvement changes within Student Affairs, partnering with the Assistant Dean for Student Affairs to implement shared vision. Oversee Student Affairs managers and team members to deliver medical student programs and services, including medical student health insurance/benefits, disability insurance, immunizations, mandatories, credentialing, and research.Collaborate with the Senior Registrar to produce annual reports for enrollment, OMSE functions, and AAMC surveys.Partner with the Assistant Dean for Student Affairs and members of the Student Affairs team for operational management of career development and residency selection programs, as well as data management for developing, improving and sustaining these programs. Oversee reporting based on internal data, residency application platform available data, and Match data from NRMP and others.Partner with the Assistant Dean for Student Affairs and the Counseling and Advising team to develop, nurture, and support the professional, academic, and individual journeys of medical students from matriculation through commencement. Ensure alignment with policies and best practices. Establish Advising standards and oversee the development and attainment of service excellence metrics for this team. In collaboration with Associate and Assistant Deans, as well as Staff Directors, develop and maintain process for systematic review of medical school policies related to academic performance, advancement, the learning environment, and institutional standards/compliance. Disseminate and publish updates to policies, with an eye towards transparency to the educational community and LCME standards.Serve as an ad-hoc member of the curricular subcommittees, Competency Committees, and the Curriculum Policy Committee. Provide expertise to ensure community wide understanding of financial assistance, scheduling, and registration and records policies and procedures.Provide ongoing compliance with and CQI of topics in LCME standards 11,12 (student services, records, counseling).Student Services Process, Projects, and Innovations
Lead and partner with the OMSE Administrative Director and Medical School Senior Registrar to deepen and streamline understanding of the scheduling impacts of curriculum innovations on enrollment, academic calendars, leave-of-absences (e.g. dual degree, research leaves), student transcripts, and medical school term transitions. Develop and lead leave of absence project to improve existing and future processes. Serve as liaison with Health Information Technology & Services to develop suite of student applications and reports to maintain essential Student Information System database functions. Work with HITS teams to vet and procure vendor solutions in order to support educational IT infrastructure (e.g. Medical Student Immunization tracking, Leave-of-absence tracking, etc.). Leverage MPathways super-user role and liaise with medical school and campus teams.Attend regional and national conferences to present UMMS student affairs projects and innovations, network with peers, and further refine professional skill sets.Required Qualifications*Bachelor's degree required, Master's degree strongly preferred.At least 4 years of experience with supervision and mentoring/development of staff.At least 4 years of experience and/or training in student affairs and/or medical education.Proven ability to work as a collaborative member of a division leadership team.Proven ability to work collaboratively with colleagues, direct reports, and peers across a complex organization. Past experience partnering with faculty leadership to develop, plan, and communicate strategic direction for a unit or division.Past experience with projects related to process improvement, IT systems, and organizational policies and procedures.
