Senior Logistics Coordinator

Job Purpose

 

The Senior Logistics Coordinator leads a wide a range of tasks related to logistics at the Singapore Export Platform level.

Depending on the scope size and complexity it can cover all or part of the roles:

Third-Party Logistics Management - related to managing external logistics activity.

Warehouse Management – related to monitoring of warehousing activities to ensure compliance to Sanofi procedures (in close collaboration with the MCCQ organisation)

Repackaging Activities – related to activities performed to support execution of repackaging by 3PL

The Senior Logistics Coordinator must perform their job in close coordination with their manager.

Key Accountabilities

 

Third-Party Logistics Management

Daily operations management

Orchestration of daily operations

Management of daily interface issues

Responsible to ensure Business Continuity Plan (BCP) is in place at 3PL

Deviation, CAPA and Effectiveness Check (EC) Management in coordination with MCCQ (Quality Department)

Manage Change Control activities related to their perimeter.

 

Compliance and audits

Work with Affiliate Quality (MCCQ) to ensure Quality compliance is in place

Ensure proper documentation is in place for audit purposes and group policies are followed to stay fully compliant (ensure compliance to local requirements for Self-Inspection)

Review periodically local SOPs and provide input on GOPs applicability where needed.

Participate in audits (Internal/External/GDP audit) from supply chain point of view.

Lead/Support stock count as per global processes. Prepare detailed stock count instructions and cut-off dates for 3PL and internal team.

Act as Key contact for internal control and external auditors.

Work with A2R Team to arrange external auditor's presence during physical stock count in 3PL warehouse

Supplier relationship management

Determine the value each supplier provides, and which ones are most critical/strategic to business continuity, operational excellence and performance.

Develop relationships with suppliers and build trust and mutually beneficial partnerships.

Work closely with MCCQ for induction of new suppliers / third parties.

Find cost savings and maximize the value of suppliers.

SLAs development

State the business objectives to be achieved.

Describe in detail the service to be provided.

Contributes to define KPIs, expected targets and pay against performance if required.

Describe reporting mechanism for measuring expected performance.

Describe remediation mechanism when performance standards are not achieved.

KPIs maintenance, performance and cost monitoring, management and control

Weekly / Monthly KPIs follow-up

Set up processes for monthly cost control (tracking of spend vs contract)

Approve 3PL invoices and partake in identifying areas of improvement and efficiencies for Sanofi and the 3PL.

Best business practices maintenance

Make sure best practices are aligned with our 3PL core model and key business rules.

Liaise with internal stakeholders to apply 3PL core model.

 

Process improvement and new initiatives contribution.

Contribute to  core business process improvements to lead to more effective and efficient workflows.

Detect and share any inefficiency with relevant stakeholders to discuss any potential improvement.

Make use of KPIs / Performance to detect any improvement area.

Collect feedback ideas from the teams closest to 3PL management activity.

 

Qualification and validation of Transportation:

identify route, transport mode required for validation.

Work with 3PL/transporter on execution.

Warehouse Management

Support activities of the 3PL to ensure it is in compliance with local regulation, good distribution practice and Sanofi procedures together with the strong support from the MCCQ (Quality) organization

Support and Management of Repackaging Activities

For repacked products, act as key contact point for coordination of all packaging material artwork changes with Regulatory Affairs and/or Quality teams

Prepare incoming Goods Reference checklist for all finished products and ensure latest versions are updated in a timely manner

Prepare & circulate Repackaging Master List (repackaging instructions) to internal stakeholders and 3PL for execution of repackaging activities

Update Bill of Material (BOM) in the Repackaging Master List and iShift whenever there are changes to the packaging materials or repackaging instructions

Ensure packaging material inventory management the right levels are maintained with our 3rd party service providers

Review Packaging Material inventory shortage and exception reports

Execute and monitor phase-in & phase-out of old and new packaging materials, taking into consideration implementation timelines communicated by Regulatory Affairs. Minimise PM destruction costs wherever possible, and if they cannot be avoided, to inform Market SC on destruction costs for reallocation

Coordinate and follow-up with affiliate Regulatory Affairs or Quality teams to ensure new packaging artworks are implemented on time

Project Management & Ad-hoc support:

Manage and/or support in the planning, implementation, and follow-up of ad-hoc projects and topics (e.g. 3PL tender…) assigned providing both analytical/technical aspects to ensure project goals are delivered on time & within budget.

Backup Support:

Backup other team members when needed to ensure operational and business continuity.

 

About you

Skills/Expertise/Experience:

 

Experience in wide range of Logistics and warehouse activities.

Bachelor’s degree from an accredited college or university.

Proficient in both verbal and written English

Preferred Skills/Expertise/Experience:

Team player who can facilitate successful project work, operating to deadlines.

Experience with leading teams and projects within the field of logistics, warehouse and supply chain.

Knowledge of import/export regulation and GDP an advantage

Excellent systems skills a strong advantage

Understanding of downstream processes and local trade environment within Pharma

Understanding of KPI's & SLA management

Strong Relationship Management (internal and external)

Understanding of process improvement/change management

Strong data analysis skills - Ability to interpret and draw conclusions from data.

Capacity to work transversally and in a dynamic environment.
