JOB TITLE: SENIOR FACILITIES MANAGER
REPORTING INTO: Account Director Malaysia
ABOUT THE ROLE:
The Senior Facilities Manager will oversee the full spectrum of facilities operations for a major technology client, ensuring seamless site functionality, compliance, and exceptional workplace experiences. This role requires strong leadership, operational excellence, and strategic thinking to drive service delivery, sustainability, and continuous improvement across a dynamic campus environment.
KEY RESPONSIBILITIES
Operational Oversight & Service Delivery
Manage day-to-day site operations, ensuring functionality, timely escalation management, and client satisfaction.
Act as the primary point of contact for all campus-related activities and building operations.
Oversee engineering scope, including preventive and corrective maintenance of MEP systems, HVAC, and critical infrastructure.
Ensure office housekeeping and cleanliness meet the highest standards.
Deliver or delegate service requests within agreed KPIs and SLAs.
Conduct periodic inspections of buildings and plant to prioritize repair works.
Proactive Risk & Issue Management
Demonstrate proactiveness in identifying and addressing gaps, issues, and risks before they escalate.
Ensure timely solutions, risk mitigation, and documentation of lessons learned for continuous improvement.
Effective Incident Management
Act as the point of escalation for all facilities-related issues and crisis management activities on site.
Implement incident management protocols, ensuring rapid response, clear communication, and minimal disruption to operations.
Maintain accurate incident logs and reporting, and share lessons learned with stakeholders.
Client & Vendor Relationship Management
Build and maintain strong professional relationships with clients, vendor partners, and internal stakeholders.
Engage with key vendors at management level to drive service delivery against KPIs and SLAs.
Communicate effectively to keep the client and management informed of risks, escalations, and critical events.
Compliance & Risk Management
Ensure compliance with JLL and client policies, statutory requirements, and SOPs.
Implement a risk management program covering occupational health and safety, fire safety, essential services, and environmental risks.
Develop and maintain disaster recovery and business continuity plans.
Ensure escalation procedures are in place for incident reporting and risk mitigation.
Financial Management
Manage budget and spend, ensuring alignment with JLL and client policies.
Oversee purchase orders, invoice processing, and service charge management.
Continuous Improvement & Sustainability
Drive continuous improvement initiatives to optimize operations and enhance productivity.
Collaborate with the account sustainability network to deliver projects, innovations, and best practices.
Leadership & Team Development
Develop and sustain a high-performing, motivated team.
Promote proactive behaviors to identify and resolve issues without waiting for direction.
Ensure team is well-trained on policies, procedures, and systems.
Implement succession planning, grooming potential successors within two years.
Foster an environment of teamwork, inclusion, and performance excellence.
ABOUT YOU
Bachelor’s degree in Facilities Management, Engineering, or related field; advanced degree preferred.
8+ years of experience in facilities management, with at least 3 years in a leadership role.
Proven ability to manage large, complex portfolios for corporate or technology clients.
Strong financial acumen and experience managing multi-million-dollar budgets.
Excellent communication, negotiation, and stakeholder management skills.
Familiarity with CAFM systems, IoT solutions, and workplace technology trends.
Strong knowledge of engineering systems, health and safety regulations, and risk management practices.
