Senior Facilities Manager

Responsibilities & Duties

Engineering services are delivered under comprehensive preventative and corrective maintenance contracts directly under the service Provider's control. A high degree of emphasis is placed on the following:

to accomplish project management duties as Facilities Manager (e.g. management of quality, cost, delivery date and risk mitigation), to be aware of work efficiency and standardization, critical thinking with solution enabled mindset to ensure scrutinized proven processes in managing client’s critical facilities, to achieve a safe and business interruption free environment.

Engineering Management

To follow the agreed service delivery as indicated in Master Service Agreement for Engineering Services.Proactively develop & manage key strategies to minimize & control energy consumption across the designated building/ portfolio.Proactively manage the planned & reactive fabric repairs & maintenance to maintain the property / workplace to agreed standards, including statutory power down.Monitor & manage the operational & statutory compliance of all fire & life safety systems through the third-party service providers.

General Accountability

Monitor & manage the operational & statutory maintenance of all “Hard facilities” including building electrical, HVAC, UPS, and other critical facility systems through the third-party service providers.Monitor & manage the planned preventative maintenance regime for all mechanical systems through the third-party service providers.Monitor & manage the contractor induction program for the allocated building / portfolio to ensure compliance with EHS and other agreed process.Manage all regular / irregular service provider to ensure compliance with agreed process.Ability to manage Workorder system to ensure work order KPI are met.

Financial Management

Compilation of appropriate financial commitment data to support the annual property budget process (life cycle repair and replacement, EOL, fix-break, etc).Completion of monthly accrual & forecast information to support the month-end financial processes.

Move & Changes, Ad-hoc Project Support

Management of quotations, purchase orders, contracts, and invoicesConstruction vendor management, on-site support, confirmation of construction work completion, and quality control such as correction work managementAd-hoc Project support of which is promoted by globally.Communication and coordination with move departmentThe other admin works related to MAC, and others project.Presence of moving work will be required.

Space Planning & Seating Management

Space Planning (work with client or your manager)Seating management of newly hired, transferred, and retired employees.Seating or locker usage situation and survey.Head count seat management, data creation.Seating chart management

Asset Management

Asset inventory and management both equipment and furniture etcRegistering newly procured assets and asset disposal managementManage building asset registers to maintain an accurate database.Support project resources by taking ownership of post PC defects monitoring & rectification in line with agreed scope.Management of Minor works projects in line with the agreed project filter.

Administration

Assistance with the preparation and presentation of required reportsExcellent record keeping ensuring that all capital works have received the landlords written approval inclusive of all handovers and DLP processes are completed.Administration works related with above (such as data creation, aggregation, and analysis)Support other JLL members to achieve the purpose of site team operation, to meet the service level agreement.
