Senior Facilities Coordinator

SUMMARY

This position manages day-to-day Facilities Coordinator activity for an assigned property or properties across our client’s retail and office portfolio. The successful candidate must be able to organize and prioritize multiple tasks, effectively manage through stressful situations, and consistently make effective, high quality decisions. It is also crucial to understand complex client and customer relationships, developing and maintain relationships. Core responsibilities include budgeting, accounting and finance, oversight of maintenance and operations, management of contracted services, purchasing of equipment and supplies, and occupancy services, administration and helpdesk.

MAJOR ROLE AND RESPONSIBILITIES

Finance Management

Annual budget management and data analyzation for facility management and various client services

Raising PO and processing vendor invoice (GR, IR). Frequently update payment tracker to manage actual value and remaining amount

Prepare financial summarization and required supporting data to report to all stakeholders

To find work efficiency and team cooperation, continuously develop financial tracking files and report format

Management of required financial document

Procurement and Vendor Management

Manage and order for canteen breakfast, snack, and beverage

Closely support and manage quarterly special treat menu and vendor ordering

Proactively, closely support client special event

Support vendor escort and report specific event to line manager

Vendor registration and information change for both JLL and client

Vendor contract management support

Updating changes or addition of assets on Planon and reporting to region Finance team

Site Operation Management and EHS Support

Daily inspection and taking action for defects

Assistant of team project, ad-hoc request, and other facility management

Prepare office announcement and facility related campaign

Support to manage EHS training vendor for scheduling mandatory training for employees

Management and support of regular on-site health consultations

Reception desk backup when receptionist day off

Other operations and client ad-hoc tasks not listed in this document

Ability to handle tasks proactively with effectiveness and accuracy.

Self-starter. Quick learner. Sensitive in numbers and detail oriented

Demonstrates proactive & professional approach to the workplace and customer service

Excellent communication, interpersonal and supervisory skills.

Demonstrate flexibility to support client service delivery and new tasks as needed

Skills and Requirement

Good communication skill in English and Korean, both writing and speaking

Prefer to have advanced Excel skills (Formulas, pivot tables, charts, vlookup etc… )

Strong organisational skills and have financial work experience

Flexible, proactive, and adaptable
