Senior Facilities Administrator
Description About the Organization: Our client, a mission-driven nonprofit organization is seeking a Senior Facilities & Events Administrator to oversee the operational, administrative, and event-related needs of its facilities. This role ensures the organization’s spaces are safe, functional, and optimized for daily use as well as special programs, meetings, and community events. Position Summary: The Senior Facilities & Events Administrator will lead day-to-day building operations, manage vendor and contractor relationships, coordinate internal and external events, and provide high-level administrative support for facilities planning and scheduling. This role blends strategic oversight with hands-on execution, making it ideal for a detail-oriented, resourceful professional who thrives in a fast-paced, mission-focused environment. Key Responsibilities: Facilities Management + Oversee all aspects of building operations, including maintenance, repairs, safety compliance, and cleaning services. + Develop preventive maintenance schedules for building systems and equipment. + Manage vendor contracts, negotiations, and performance to ensure high-quality service delivery. + Monitor facility budgets, process invoices, track expenses, and prepare cost reports. + Ensure compliance with OSHA, ADA, fire safety, and local regulatory requirements. Event Planning & Coordination + Serve as the primary contact for scheduling, coordinating, and executing on-site and off-site events, including staff meetings, board gatherings, training sessions, fundraisers, and community programs. + Collaborate with program and development teams to plan event logistics, room layouts, equipment setup, and catering. + Oversee event setup and breakdown, ensuring facilities are prepared, clean, and organized. + Manage event-related vendor relationships, including AV services, rentals, and catering. + Maintain a master event and facilities calendar to prevent conflicts and maximize space usage. Administrative Support + Maintain organized records of maintenance schedules, inspections, permits, and warranties. + Prepare reports and presentations related to facilities operations, event metrics, and budget tracking. + Support staff onboarding related to workspace setup, access credentials, and equipment allocation. + Handle correspondence, scheduling, and communication for facilities-related matters. + Lead or assist with emergency preparedness planning, safety drills, and disaster recovery protocols. Requirements Qualifications: + 5+ years of experience in facilities management, office administration, or event coordination; nonprofit or multi-site experience preferred. + Strong organizational and project management skills, with the ability to balance long-term planning and urgent operational needs. + Proficiency in Microsoft Office Suite and facility/event management tools/software. + Excellent written and verbal communication skills. + Proven ability to manage budgets, negotiate contracts, and oversee multiple vendors. + Willingness to work occasional evenings and weekends for events. Preferred Skills: + Experience in both facilities oversight and professional event management. + Knowledge of sustainability practices and capital improvement planning. + Familiarity with CRM or scheduling software.
