Responsibilities:
Monitor the status of purchase orders from set-up to delivery to ensure fast fulfilment by suppliers.
Collaborate with suppliers, freight forwarders, and logistics providers to track shipments and confirm delivery schedules.
Coordinate with the warehouse team to ensure smooth receiving, inspection, and storage of goods upon arrival at the Kibali mine.
Proactively identify and resolve potential supply chain delays, escalating issues to the purchasing manager when necessary.
Maintain regular communication with suppliers to confirm order progress, delivery times and compliance with contract terms.
Correct inconsistencies or problems with orders, such as incorrect quantities, damaged goods, or failure to meet specifications.
Ensure that suppliers comply with Kibali Mine's Safety, Health, and Environmental (SHE) standards, including the use of approved packaging and transportation methods.
Collaborate with inventory and warehouse teams to align deliveries with inventory needs and operational schedules.
Provide updates to relevant departments on the status of critical materials and equipment.
Help forecast delivery needs based on project timelines and operational requirements to avoid shortages or overstocking.
Check that all deliveries comply with Kibali Mine's sourcing policies, local regulations and international standards.
Ensure accurate and complete documentation for all shipments, including invoices, packing lists, and certificates of conformity.
Maintain detailed records of acceleration activities for audit purposes and to support transparency in the supply chain.
Identify risks related to delivery times, such as supplier delays, transportation issues, or difficulties with customs clearance, and implement corrective measures.
Work with logistics providers to resolve issues related to shipping routes, customs, or port delays, especially for international shipments.
Escalate critical supply chain disruptions to the purchasing manager and propose contingency plans to minimize the impact on operations.
Prepare regular reports on order status, delivery performance, and supplier reliability for the purchasing manager.
Use procurement and logistics software (e.g., ERP systems like SAP or Oracle) to track orders, update delivery status, and generate reports.
Deliver data-driven insights to improve acceleration processes and increase supply chain efficiency.
Work closely with the buyer, purchasing manager, and other members of the supply chain team to align acceleration activities with procurement strategies.
Support cross-functional teams by ensuring the rapid availability of materials for projects, maintenance, and operational activities.
Communicate effectively with internal stakeholders to provide updates on the status of deliveries and address any concerns.
Work in compliance with ISO 14001 and 45001 Standards
Qualifications:
Bachelor’s degree in supply chain, Logistics, Engineering, Management or equivalent field.
Experience and Skills Requirements:
Have a proven experience of (5–10 years) in shipping, supply chain or technical order management
Experience in CAPEX, industrial or engineering projects
Have a good knowledge of supplier processes, manufacturing and quality control
Have a good ability to adapt and work in a multicultural and regulated environment.
