We are seeking an accomplished and highly organized Senior Executive Assistant to support the Sector President of the Laboratory Products and Bioproduction (LPB) Sector, a global business delivering critical solutions to the life sciences, bioproduction, and laboratory research communities representing approximately one third of the company’s overall business/revenue. Based in Waltham, MA, this role will provide strategic and administrative support at the highest level, helping drive operational efficiency and enabling executive focus on business-critical initiatives.
The ideal candidate will be a self-starter with outstanding organization, communication, and decision-making skills, capable of anticipating needs, handling shifting priorities, and exercising good judgment in a fast-paced, global environment.
Executive Support
Provide proactive, high-level calendar and schedule management, including prioritization and alignment with business objectives.Lead and coordinate complex domestic and international travel plans, including accommodations, visas, and itineraries.Prepare and lead confidential communications, reports, and presentations for internal and external audiences.Act as a trusted liaison between President, Company Leadership Team, senior leaders, clients, partners, and internal customers.Strategic & Operational Support
Track and follow up on key critical initiatives and ensure timely execution of action items.Prepare briefing materials, leadership updates, and executive summaries with high accuracy and business relevance.Partner with the LPB sector’s leadership team to coordinate planning cycles, operating reviews, and business unit communications.Meeting & Event Coordination
Be responsible for the logistics, materials, and follow-up actions for executive meetings, Board-level reviews, customer briefings, and leadership summits.Facilitate cross-functional initiatives to support critical deadlines and ensure readiness for key engagements.Lead the execution of high-impact onsite and offsite events, in close collaboration with internal teams and external partners.Administrative
Process expense reports, reconcile executive credit cards, and support procurement or vendor-related transactions.Maintain executive files, records, and documentation in accordance with company policy and confidentiality standards.Continuously seek opportunities to improve administrative operations through tools, systems, and process improvements.Qualifications
Experience: 10+ years supporting senior executives, ideally including C-suite or President-level roles in a large, global organization.Industry Knowledge: Life sciences, bioproduction, or pharmaceutical experience preferred.Education: Bachelor’s degree required; advanced administrative certifications or business coursework a plus.Skills:Advanced proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word) and collaboration platforms (Teams, SharePoint, Zoom).Outstanding verbal and written communication, with strong editing and proofreading abilities.Demonstrated ability to handle confidential information with discretion and integrity.Adept at balancing multiple priorities and working independentlyStrong interpersonal presence with executive maturity, emotional intelligence, and the ability to build trust quickly.Preferred Qualifications
Experience supporting a President or General Manager within a sector or business unit.Familiarity with enterprise-wide tools such as Workday, Coupa and ConcurAbility to collaborate across multiple time zones and work with global teams.
