The location of your normal place of work will be the Johannesburg office in No. 5 Parks Boulevard, Oxford Parks, Dunkeld.

SENIOR EXECUTIVE ASSISTANT

Provide all administrative support for the team at a consistent and exceptional level including, acting as key enabler in ensuring the leadership meet their client and internal commitments and goals. Work in collaboration to support and develop the Executive Assistant (EA) team as well as taking on extra responsibilities that benefit the business and team. Working at a higher level and consistently producing work of an excellent standard.

Understand Managing Directors and Partner’s priorities and strategies in order to optimize their efforts and time commitments as part of their overall business development strategyApply thought leadership to manage highly complex calendars and political sensitivities to schedule client meetingsProactively manage point-to-point travel, identifying conflicts and resolving competing prioritiesDevelops strong working relationships with external clients and their assistants to facilitate the information flow and scheduling processDevelops strong working relationships with case team members to facilitate information flow and scheduling processAssisting with EA Team projects and objectives by aligning with the Operations DirectorWork alongside EA Team in achieving key actions and wider EA Team goalsActs as a mentor to members of the Junior EA team, highlighting areas of concern to your line managerUnderstand pain points in the wider team and creates valuable solutions for EA Team to implementIdentify and proactively manages conflicts appropriately; offers advice to others & guidance for complex issues which impact the EA TeamSupport proposal submission process end-to-end, including but not limited to: vendor registration, preparing administrative documents (copying and book binding), liaising with client to arrange pitch meetingsCoordinate internal and external meetings, arranging zoom meetings, reserving conference rooms, organize cateringProvide administrative support to Practice Area (PA) events: prepare invitation mailings, manage responses, arrange catering, venues and on the ground supportOrganize and maintain online systems for EAManage client contacts and relationship mapsPrepare weekly timesheet and expense reports

Additional Areas of responsibility including but not limited to:

Own and manage projects, as directed by Operations Director (15-20% capacity)

During your work with BCG you will be required to be flexible and to undertake all activities normally and reasonably associated with your role.  You may be required to undertake activities in addition to or instead of these activities.
