**Meaningful Work From Day One:**
Getting a handle on scheduling and key stakeholders is a first priority. Then, settling into the Brown-Forman systems and ways of working is important. Someone will excel in this role if they can demonstrate the ability to anticipate what is ahead for me in my role as Chairman of the Board and our Family Shareholders office, and help us plan and execute accordingly.
**What You Can Expect:**
● Requires knowledge of Brown-Forman’s corporate structure, operations, policies and procedures, and technical skills.
● Coordinates meetings, schedules and activities involving internal and external individuals, groups, and organizations.
● Secures and confirms travel arrangements and hotel accommodations, adhering to travel policies.
● Maintains files, handles incoming and outgoing mail, phones, and ensures office supplies are stocked and easily accessible
● Maintain and track records related to Brown Family Shareholders using systems like Salesforce and excel
● Audits Expense Reports and reconciles discrepancies with Corporate Accounting. Performs expense entry and tracking.
● Assists in planning quarterly and special meetings and participates in various groups/committees as required. Partners with the Strategic Events team to plan and lead our Annual Shareholders Meeting and other events and meetings, such as with our NextGen Subcommittee.
● Performs special projects for the department as required.
● A high level of discretion is expected. Interacts with high-level personnel at Brown-Forman, as well as with Brown Family Members, requiring excellent communication skills and professionalism.
**What You Bring to the Table:**
● Minimum of three years serving in an administrative office/functional role (preferably supporting Executive Leadership / C-Suite)
● A service mindset, willingness to go the extra mile to ensure Family Shareholders have a positive experience with Brown-Forman
● Excellent interpersonal skills and a high level of empathy and understanding
● Demonstrated ability to work in a self-managed environment with discretion
● Excellent oral and written communication skills, ability to clearly and tactfully respond to inquiries and compose routine correspondence and presentations as directed.
● Ability to independently organize and prioritize workload to ensure completion within designated time frames.
● Excellent organizational skills, including some minor project management and event planning.
● Demonstrated ability to exercise initiative, good judgment, discretion, and maturity in response to requests for data, issue resolutions and the ability to handle confidential information and documents.
