Job Description

We are seeking a Senior Executive Assistant who will play an integral role in supporting our senior-level management. This position entails providing complex and highly confidential administrative services, exercising sound judgment and discretion in the management of various responsibilities in a fast-paced environment.

The selected candidate will be responsible for scheduling both internal and client-facing meetings, which may involve confidential and competitively sensitive discussions. They will coordinate meetings, presentations, and travel arrangements, necessitating proficiency in various software packages, including word processing, spreadsheets, and graphics. Additionally, the candidate will be expected to compose correspondence, prepare reports, and undertake special projects as directed.

This role demands an individual capable of delivering complex and highly confidential administrative support services with minimal supervision. The successful candidate will independently manage a variety of non-routine situations and conflicts, prepare reports, and conduct special projects. Moreover, they will assist in organizing the executive's schedule for the week, coordinate key touchpoints with the executive’s direct reports, and maintain group routines. Proactive use of OneDrive to upload content and materials for meetings is also a requirement.

The Senior Executive Assistant may be tasked with assigning and reviewing the work of less senior staff and will report to a direct report of the Chief Executive Officer of U.S. Bancorp. This role is based in our corporate headquarters in downtown Minneapolis.

KEY RESPONSIBILITES

Executive Enablement & Calendar Strategy

Orchestrate complex scheduling across internal and external stakeholders, optimizing time allocation for strategic priorities. Monitor and complete deliverables, anticipate needs, and help to ensure timely delivery and outcomes. Proactively manage weekly agendas, coordinate key touchpoints with direct reports, and ensure alignment for group leadership routines. Manage daily scheduling including travel arrangements.

Meeting Coordination & Project Execution

Plan and execute high-impact team meetings, group meetings and presentations, including logistics, agenda formation, assisting in compiling content preparation, and capturing follow-up actions. Utilize OneDrive and other collaboration platforms to distribute materials and ensure readiness ahead of meetings and other engagements. Deliver on project work with quality and stakeholders in mind.

Communication & Correspondence

Regularly engage with several stakeholders and as a member of the Operations leadership team, serving as a liaison between the executive and internal/external partners, maintaining professional communications, confidentiality, and brand integrity. Independently handle a variety of communications and follow-up.

Team Collaboration & Mentorship

Provide leadership, guidance and support to other administrative team members, fostering a high-performance culture across the team.

BASIC QUALIFICATIONS

High school diploma or equivalent

Typically possesses 5 or more years of related experience

Preferred Skills/Experience

Digital Fluency

Proficient in Microsoft 365 (Outlook, Word, Excel, PowerPoint, OneDrive) and virtual collaboration tools. Comfortable navigating enterprise systems.

Operational Acumen

Ability to interpret and apply organizational policies and procedures. Comfort in applying sound judgement and independently navigating work and workflow across the organization.

Communication Excellence

Strong written and verbal communication skills tailored to executive audiences. Well-developed customer relations skills and ability to collaborate. Demonstrated ability to manage confidential information. 

Organizational Skills

Strong time management, prioritization, and multitasking abilities in fast-paced environments. Detail-oriented with a proactive approach to problem-solving.

The salary range reflects figures based on the primary location, which is listed first. The actual range for the role may differ based on the location of the role. In addition to salary, U.S. Bank offers a comprehensive benefits package, including incentive and recognition programs, equity stock purchase 401(k) contribution and pension (all benefits are subject to eligibility requirements). Pay Range: $30.29 - $40.38
