Position TitleSenior Executive AssistantBell HospitalPosition Summary / Career Interest:Directly supports all assigned executives up to the Senior Vice President level, the department, and coworkers on the team. Prepares presentations, reports, correspondence, agendas, etc. Receives, screens and directs calls, visitors, emails and requests from direct reports. Arranges travel and manages maintenance of executive's technology needs. Exercises confidentiality, tact and diplomacy. Accomplishes all tasks at or above standard with minimal supervision.
Responsibilities and Essential Job Functions
Provides administrative support directly to all executives, the department and coworkers on the team, exercising confidentiality, tact and diplomacy.Competently uses business software applications (e.g. email/scheduling, word processing, presentation, spreadsheet, virtual meeting rooms, and ERP) to prepare correspondence, reports, presentations, agendas, minutes, etc.Provides basic desktop support assistance on these same applications, as well as managing the maintenance of the executive's overall technology needs.Receives, screens and directs calls, visitors, emails and requests from direct reports.Maintains files and calendars, tracks tasks and downline functions on behalf of the executive.Arranges business travel, coordinates meetings and tracks expenses.Models and develops business standards, policies and practices for the entire organization in this functional area.Accomplishes all tasks at or above standard with minimal supervision. Commitment to impeccable work product, i.e., spelling, grammar, fact-checking, editing, etc.Typically supports executives up to Senior Vice President.Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department.These statements are intended to describe the essential functions of the job and are not intended to be an exhaustive list of all responsibilities.
