Senior Executive Administrative Assistant
**Description** **Responsibilities/Essential Functions:** + Provide administrative support for Senior Field Leadership. + Maintain continuous focus on providing outstanding customer service (both internal and external). + Maintain a positive working relationship with others. + Collect data and prepare special reports and presentations as required. + Process invoices and expense reports weekly and send to Atlanta/Burbank as required. + Place, receive, screen and relay phone calls in a timely manner. Sort and distribute mail and other incoming materials on a timely basis. + Coordinate and book travel plans including airline, hotel, ground transportation and other travel necessities. + Collect data and prepare calendar for all field travelers weekly by deadline utilizing travel schedule spreadsheet. + Report payroll data as required to Burbank for field employees timely. + Maintain appointment and meeting calendars and ensure personnel are informed of schedules. + Update and maintain distribution lists for the field on an ongoing basis. + Update and maintain phone list for field on a monthly basis. + Develop and maintain files and records systems; research files to retrieve data. Ensure files are kept current. + Perform specialized duties/tasks which may be unique to the needs of the field or the executive staff, including but not limited to, planning/coordinating special meetings and events, preparing miscellaneous reports and presentations as assigned. + Partner with other contacts, both internal and external, as required for special projects and events. + Compose and/or assist in the composition of correspondence as necessary. + Maintain adequate inventory of office supplies and equipment needed for the office to function efficiently. + Performs other duties as required or assigned which are reasonably within the scope of the activities enumerated above. **Experience/Qualifications:** + Minimum of three to five years experience in a senior level support role in a large corporate environment. + Excellent communication skills, both written and verbal + Demonstrated ability to interact effectively with senior leadership, outside vendors, and internal and external customers. + Must be able to coordinate multiple projects with deadlines and changing priorities. + Technical requirements include superior computer skills with advanced knowledge of Concur, MS Word, Excel, Visio, PowerPoint, mobile devices and Outlook email and group scheduling. + The preferred candidate must have initiative, decision making skills and the judgment to determine the correct action or approach in non-routine assignments and projects. + Bachelor’s Degree or related equivalent experience is preferred. + Ability to travel minimum of 10%. **Working Environment/Safety Requirements:** + This is an on-site position (not remote) located out of the Roswell, GA Corporate Office.
