Job DescriptionAECOM is seeking a Senior Document Controller for one of our offices in Sacramento, CA.
SUMMARY:
This role serves as a subject matter expert and technical lead for document control operations and systems, supporting both current project needs and the Authority’s enterprise-wide document control initiatives. This role ensures compliance with document control standards, oversees document management processes, supports system administration and adoption, and provides guidance to project teams and stakeholders. The position plays a key role in maintaining document integrity, audit readiness, and continuous improvement across complex programs.
RESPONSIBILITIES:
Serve as a senior-level subject matter expert for document control systems, processes, and standards across the organizationProvide guidance, mentoring, and technical support to Document Controllers, Program Analysts, and project teamsSupport as system administrator or power user for the enterprise Document Control System, supporting configuration, permissions, workflows, and troubleshootingSupport enterprise document control initiatives, including system rollout, enhancements, and adoption strategiesOversee document intake, processing, distribution, storage, and archival activities to ensure compliance with standards, contractual requirements, and regulatory obligationsEnsure adherence to document control procedures, metadata requirements, naming conventions, version control, and classification standardsReview document submittals for completeness, accuracy, and compliance prior to acceptance into document management systemsSupport audit readiness efforts by ensuring documentation is complete, traceable, and properly maintainedSupport the procurement, deployment, configuration, and optimization of the enterprise-wide Document Control SystemParticipate in defining system requirements, workflows, user roles, and reporting capabilitiesIdentify system gaps, risks, and improvement opportunities; recommend and support enhancements to improve efficiency and data integrityDevelop and maintain process maps, SOPs, desk manuals, and system user guidesMonitor document control performance metrics, workload trends, and compliance indicatorsMaintain document control dashboards, trackers, and reporting tools to provide visibility into system health and operational performanceSupport risk identification and mitigation by maintaining document control risk logs and issue trackersPrepare summaries, reports, and briefings for leadership related to document control performance and system adoptionServe as a primary point of contact for document control matters with internal staff, consultants, contractors, and external partnersCoordinate closely with project teams, IT, Business Analysts, procurement, and compliance staff to support document control needsProvide training, onboarding, and ongoing support to users of document control systemsSupport change management efforts related to new tools, workflows, and standardsContribute to continuous improvement initiatives to enhance document control efficiency, clarity, and consistencySupport special projects, enterprise initiatives, and strategic priorities as assignedPromote a culture of accuracy, accountability, and best practices in document controlQualificationsMINIMUM REQUIREMENTS:
BA/BS + 4 years of relevant experience or demonstrated equivalency of experience and/or education.PREFERRED QUALIFICATIONS:
Demonstrated experience performing document control functions on complex programs or capital projectsStrong knowledge of document management systems, document control standards, and compliance requirementsProficiency with Microsoft Office, SharePoint, Adobe Acrobat, and enterprise document management platformsStrong organizational, analytical, and communication skills with the ability to manage multiple prioritiesExperience developing SOPs, workflows, process maps, and training materialsAbility to work independently and collaboratively with multidisciplinary teams Experience supporting or administering an enterprise-wide Document Control System as a system administrator or SMEExperience on at least two (2) projects similar in scope and complexity, preferably within large infrastructure, transportation, or public-sector programsProfessional certification in document or records management (e.g., CDIA+, CRM) or equivalentFamiliarity with audit processes, regulatory compliance, and document retention requirementsExperience supporting system implementation, change management, or enterprise process improvement initiativesAdditional InformationAbout AECOM
