The Elfers Cardiovascular Center is located on the Newton-Wellesley Hospital main campus (2014 Washington Street, 2nd floor, in Newton, MA). Our team provides a wide range of outpatient care for patients who have a high risk of heart disease. We provide diagnosis, management of acute and chronic conditions, and preventive care.


 

Job Summary

This is a full-time, 40-hour role expected to be onsite Monday through Friday from 8:30am to 5:00pm.

Our Senior Clinic/Practice assistant plays an integral part in the operations of our community-based physician practice. Dedicated to administrative support, this person serves as the gatekeeper of our practices and ensure that our front desk team is delivering the highest quality experience, exceeding our patients' expectations.

This is a unique opportunity to work autonomously in a close-knit practice with a mix of patient facing and administrative responsibilities to support/lead our 8 front desk team members!

Responsibilities Include:
• Assist the Practice Manager in ensuring the smooth and efficient overall day to day operations of the front desk, and other administrative functions of the practice.
• Provide excellent customer service, assisting in situations as needed to provide optimal care for our patients
• Assist Practice Manager in assigning coverage for planned and unplanned staff absences, lunch breaks, and other schedule-related issues for staff
• Manage authorizations in collaboration with clinical team to ensure timely submission.
• Meet regularly with Practice Manager to provide support and work collaboratively to enhance efficiencies within the practice setting.
• Following up with patients and staff, as needed, to close the loop on outstanding issues
• Check-in and check-out tasks, if needed
• Scheduling Cardiac Rehab classes, and procedures
• Assign and delegate tasks to department coordinators daily. Mentor and Motivate staff members


 

Qualifications

Education High School Diploma or Equivalent required Can this role accept experience in lieu of a degree? No Licenses and Credentials Experience office experience 3-5 years required Knowledge, Skills and Abilities - Strong technology and MS Office skills – Advanced Outlook, Word, Excel, PowerPoint Knowledge of office operations and standards and understanding of office procedures including filing, copying, scanning, printing and faxing. - Ability to use phone system and manage more non-routine phone calls and solve routine issues as appropriate. - Communicating effectively in writing as appropriate for the needs of the audience and Talking to others to convey information effectively. - Understanding written sentences and paragraphs in work related documents, to correspond and communicate with others clearly and effectively (including composing/editing e-mail, memos and letters), and to take complete and accurate messages. - Managing one's own time and the time of others. - Well organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems. - Ability to proofread and edit written documents.
