Our client, a reputable university in Vancouver, is seeking a Senior Administrative Assistant that will support a Senior Executive in a Higher Education environment. They will responsible for high-level executive administrative tasks, project coordination, and ensuring an efficient reliable team.
Senior Administrative Assistant responsibilities:
Project Support Oversee and drive the coordination of departmental initiatives and projects within the senior executive office, managing efforts from initiation through successful completion. Define project parameters, establish key performance metrics, outline deliverables, and oversee timelines, budgets, and outcome tracking. Monitor project progress, proactively identifying potential risks and delays, and facilitate resolution strategies in collaboration with key stakeholders. Maintain centralized oversight of all active initiatives, ensuring thorough documentation and delivering concise summary reports to senior leadership. Engage with internal teams and external partners to gather critical input, align strategic objectives, and maintain momentum on key priorities. Conduct thorough evaluations of workflows and processes, providing strategic recommendations to enhance efficiency and optimize future project execution. Administrative Support Deliver comprehensive administrative and logistical support to senior executives, including the coordination of complex schedules, meetings, and preparation materials. Draft, edit, and manage professional correspondence, including emails, memos, and formal communications on behalf of the senior executive office. Attend executive meetings, accurately document minutes, and promptly disseminate action items and follow-up summaries. Act as a key liaison between the executive team and various stakeholders, ensuring clear communication channels and timely responses. Coordinate intricate travel arrangements, executive conferences, and high-level events, managing all logistical details to support executive priorities. Handle incoming requests with discretion and prioritize tasks to maintain a smooth and efficient flow of information and operations. Prepare high-quality documents, reports, executive briefings, and presentation materials for internal and external audiences. Provide strategic and administrative support on an ad-hoc basis, responding to dynamic executive needs and special initiatives. Represent the executive office in operational and stakeholder meetings as needed, ensuring consistent representation and follow-through. Support a cohesive and organized team environment by anticipating needs, aligning with executive priorities, and fostering collaboration. Assist in planning and executing special projects, organizational events, and VIP visits with attention to detail and strategic alignment. Maintain and oversee robust data management systems, including expense reporting, documentation archives, and correspondence tracking.
The successful candidate has:
3-5 years’ experience in project coordination or executive level support Experience in post-secondary education/ higher education highly desired Bachelor's degree strongly preferred Ability to problem solve and think outside of the box to find a solution Exceptional written and verbal communication skills Fantastic organizational, prioritizing, and multitasking skill Strong Microsoft Office Suite skills
