We are seeking a detail‑oriented Service Administration Coordinator to support our field service operations. This role plays a critical part in payroll accuracy, travel coordination, onboarding, and daily administrative support for field technicians and the service office. The position reports directly to the Service Manager and will later transition to reporting under a newly established service leadership role.
Our service operation is structured differently from other areas of the company, and this position is central to keeping field operations running smoothly.
Schedule: Typically 7:00 AM – 3:30 PM
Sunday work required to meet payroll deadlines; on‑call availability for emergent field issues required
Key ResponsibilitiesOversee weekly collection of employee timesheets and expense submissions, ensuring accuracy and compliance with payroll standards.Enter, review, and properly code time in SAP and/or ADP based on assigned projects and job codes.Gather service reports and supporting documentation from employees and customers; organize materials by project for billing and assist with discrepancy resolution.Coordinate travel arrangements for field staff, including transportation and lodging, using company credit cards; ensure expenses are correctly allocated to jobs.Maintain accurate and up‑to‑date field staff schedules and travel records.Serve as a point of contact between field technicians, the service office, and service leadership, maintaining communication in accordance with internal guidelines.Support new‑hire onboarding, including collecting required documentation and coordinating training, uniforms, and equipment.Issue, track, and maintain company equipment and assets assigned to service personnel.Maintain employee training and quality‑related records, ensuring compliance and documentation accuracy.Provide general administrative and clerical support to the branch and assist with special projects at the branch, district, or corporate level.Follow all company and customer safety policies and procedures.Perform additional duties as assigned.Top Skills & Core QualificationsStrong experience with timesheets, payroll coordination, and expense trackingTravel logistics and scheduling coordinationOnboarding and employee documentation supportProficiency in Microsoft Office (especially Excel)Excellent organizational skills, attention to detail, communication skills, and basic math abilityComfortable working in a deadline‑driven environment with accountability for accuracyAbility to be on‑call for urgent field support needs, including Sunday payroll responsibilitiesEducation & ExperienceHigh school diploma or equivalent required; post‑secondary education preferredKnowledge of basic accounting and office administration principles3+ years of professional experience in a corporate or structured office environmentWork EnvironmentFully onsite position located in New Berlin, WICollaborative service‑focused environment supporting field technicians and leadershipEmployee Value PropositionStrong company cultureCompetitive internal benefitsStable, essential administrative role with visibility into operations and leadershipJob Type & Location
This is a Contract to Hire position based out of New Berlin, WI.
Pay and BenefitsThe pay range for this position is $30.00 - $33.00/hr.
