Johnson & Johnson is currently seeking a **Senior Administrative Assistant** .
In this role you will be providing high-level executive administrative support to senior leaders and cross‑functional teams and managing contracts and vendor relationships with patient organizations and investigators. You will ensure accuracy, timeliness and quality of deliverables while maintaining professionalism, discretion and independent judgement.
**Principal Responsibilities**
Executive & Administrative Support — ~50%
+ Provide advanced administrative support to the Sr. Director, Patient Advocacy and External Engagement, and Sr Director Clinical Representation Excellence (CRE), and to global departmental staff across multiple locations. Support other BGIA leaders as needed.
+ Manage complex calendars, travel planning, expense reporting for senior leaders.
+ Coordinate meetings and events: agenda preparation, venue logistics, materials, technology support, minute-taking and follow‑up on action items.
+ Track priorities and deadlines for senior leaders; escalate issues and drive timely resolution.
+ Liaise with internal teams (Finance, HR, Legal, Communications, IT) to expedite administrative requests and onboarding/offboarding logistics.
+ Identify and implement administrative process efficiencies.
B. Contract & Vendor Management — ~50%
+ Own the end‑to‑end contract lifecycle for engagements with patient organizations and investigators: intake, onboarding in the J&J IT systems, drafting/coordination with different internal departments, execution and post‑award management.
+ Maintain and update standard templates, statements of work and budget schedules for investigator agreements and patient organization agreements.
+ Coordinate internal reviews and approvals to ensure contracts meet regulatory and organizational standards.
+ Track contract milestones, deliverables and payment schedules; ensure timely invoice approval and reconciliation with Finance.
+ Serve as primary operational contact for patient organizations and investigators on contractual, invoicing and logistics queries.
+ Produce regular contract status and updates for senior leaders.
**Education and Experience Requirements**
+ 8+ years of administrative support experience; drug development/clinical research administrative experience preferred.
+ Demonstrated experience in contract administration and vendor management, including coordination with internal departments and external vendors.
+ Proven ability managing senior leaders’ calendars and high‑volume administrative workflows.
+ Strong negotiation, stakeholder management and interpersonal skills; ability to liaise across disciplines and cultures.
+ High attention to detail, excellent written and verbal communication skills and ability to handle confidential matters.
+ Proficiency with MS Outlook, Word, PowerPoint, Excel and SharePoint required; experience with contract management or CLM/ERP systems (e.g., SAP, Workday, CLM tools) preferred.
+ Familiarity with R&D business processes, investigator agreements and compliance requirements for payments to patient organizations and investigators is a plus.
+ Ability to work independently, anticipate needs and proactively provide additional support.

The expected base pay range for this position in the US is $62,475 to $84,525 (USD). The compensation and benefits information set forth in this posting applies to candidates hired in the United States. Candidates hired outside the United States will be eligible for compensation and benefits in accordance with their local market.
The Company maintains highly competitive, performance-based compensation programs. Under current guidelines, this position is eligible for an annual performance bonus in accordance with the terms of the applicable plan. The annual performance bonus is a cash bonus intended to provide an incentive to achieve annual targeted results by rewarding for individual and the corporation’s performance over a calendar/performance year. Bonuses are awarded at the Company’s discretion on an individual basis.

+ Vacation –120 hours per calendar year
+ Sick time - 40 hours per calendar year; for employees who reside in the State of Colorado –48 hours per calendar year; for employees who reside in the State of Washington –56 hours per calendar year
+ Holiday pay, including Floating Holidays –13 days per calendar year
+ Work, Personal and Family Time - up to 40 hours per calendar year
+ Parental Leave – 480 hours within one year of the birth/adoption/foster care of a child
+ Bereavement Leave – 240 hours for an immediate family member: 40 hours for an extended family member per calendar year
+ Caregiver Leave – 80 hours in a 52-week rolling period 10 days
+ Volunteer Leave – 32 hours per calendar year
+ Military Spouse Time-Off – 80 hours per calendar year
