Senior Administrative Assistant
Description We are looking for an experienced Senior Administrative Assistant to join the Inspections team at a housing and development organization located in the Greater Philadelphia Region. This is a long-term Senior Administrative Assistant contract position where you will play a pivotal role in ensuring efficient scheduling, compliance tracking, and database management for inspection-related activities. What you get to do every single day: • Oversee the daily routing, re-routing, and tracking of inspections across the organization's portfolio. • Coordinate with inspectors, property owners, and residents to streamline inspection schedules and ensure timely access. • Manage appointment scheduling, including rescheduling as necessary, to optimize workflow. • Compile reports to monitor compliance benchmarks and provide insights. • Maintain accurate and up-to-date records in databases and spreadsheets. • Assist in preparing monthly inspection metric reports and summaries for supervisors. • Follow up with property owners and residents to address pending matters. • Handle sensitive and confidential information with a high degree of discretion. • Support special projects and initiatives as assigned. • Perform additional administrative tasks as needed to support the team. Requirements Other requirements for the Senior Administrative Assistant position include and are not limited to: • Minimum of 3+ years of experience in administrative support roles. • Familiarity with standard operating procedures and housing regulations is highly preferred. • Proficiency in managing records, databases, and spreadsheets. • Strong calendar management skills to coordinate schedules effectively. • Ability to handle administrative tasks such as booking travel arrangements and preparing documents. • Experience facilitating conference calls and managing related logistics. • Detail-oriented with excellent organizational and communication skills.
