Senior Administrative Assistant
Responsibilities include: schedule meetings, may read and respond to emails and requests on behalf of the leader(s), prepare presentations, internal and external communications, travel arrangements, expense reports and invoices, and coordinate department programs, offsite, special events or conferences. Respond to ad hoc requests and provide project support, logistics for meetings, town halls, and offsite. Extend independent judgment over prioritization of work, and on behalf of the leader.

Key Responsibilities

Provide high level administrative support to the Corporate Secretary and other team members, including preparing expense reports, arranging travel, updating various department contact lists and organizing calendars and mailboxIndependently and proactively manage leader(s) calendar and meeting prioritization. Schedule meetings by interacting with internal/external clients/partners to coordinate calendars, meeting materials and supplies. Provide administrative support to the Corporate Secretary in support of the Ameriprise Financial Board of Directors and subsidiary boards, including with respect to:Communications and meeting notices for board and committee meetings.Uploading board and committee material on board portal and verifying/updating data in the board portals as necessary.Providing onsite support for board and committee meetings, including preparing attendance sheets, printing agendas and preparation of meeting and conference rooms.Distributing Ameriprise Financial and subsidiary meeting minutes for final signature.Maintain electronic and hard copy records of board and committee meeting materials, minutes, Section 16 filings and pre-clearance requests, and Global Code of Conduct disclosures, among other items.Process retainer payments and expenses for external directors, including conducting  quarterly reviews of payments and maintaining a record of all payments as part of SOX controls.Support team members with administrative aspects of projects, including tracking deadlines, obtaining signatures to agreements and certificates, and follow up on deliverables.Respond to requests for information from internal and external auditors and other business partners.Collaborate with technology and other departments to complete necessary onboarding/ offboarding tasks in a timely manner for team.Coordinate team meetings and special events. Inform team of technology updates. Handle sensitive information with discretion and ensure compliance with company policies.Actively support the GCO’s value proposition and culture of engagement.


Required Qualifications

Proven experience in an administrative role, preferably within a legal or corporate environment.3+ years of relevant experienceProficiency w/ computer programs (MSWord, Excel, PowerPoint, Access) and administrative programs (Outlook, Ariba Buyer, XMS, Concur, etc.).Ability to manage multiple tasks and prioritize effectively.Excellent communication and interpersonal skills.Ability to anticipate needs and use independent judgement given limited availability of leader.Ability to exercise discretion due to accessing and handling sensitive information.


Preferred Qualifications

Financial services experience.Law firm experience and in-house experience.Familiarity with document management systems to support efficient workflow and recordkeeping.

Base Pay Salary

The estimated base salary for this role is $53,400 – $72,000 a year. We have a pay-for-performance compensation philosophy. Your initial total compensation may vary based on job-related knowledge, skills, experience, and geographical work location. In addition, most of our roles are eligible for variable pay in the form of bonus, commissions, and/or long-term incentives depending on the role.
