Senior Administrative Assistant

As a Senior Administrative Assistant in Commercial & Investment Banking, you will need to work well in a team environment, be able to represent the manager/group with professional courtesy and acumen, and deliver flawless work output. Your daily routine also includes interaction with various executive level internal clients across the lines of businesses. You will need to adapt procedures, processes and techniques to complete assignments in line with the department's activities and goals.

 

Fundamental requirements include management of procedures, processes, and techniques relevant to tasks such as invoice processing, document management, meeting logistics, equipment orders, and projects.  Attention to detail is be essential to be proactive in executing job duties and maintaining efficient operations that support the team's success.

 

Job Responsibilities

Welcome guests and vendors directing to rooms/office. Receive couriers and deliveries, ensure internal recipient collects as soon as possible. Ability to lift 20 lbs. and deliver packages to correct recipientManage the schedule for conference and meeting rooms. Coordination with internal partners i.e., facilities and business stakeholders Troubleshoot technology in meeting rooms, coordinate catering as needed, ensuring optimal meeting experience and act as central point of contact for workplace tech, troubleshooting and raising work order tickets when required. Exercise strict application of the building access procedure as determined by Global Security for JPM floors and Building Security for general access, provision of visitor badges and escort guests/vendors as required. Coordinate Fire Life Safety in partnership with Global Security representatives. Handle regular activities without prompting (e.g. supply management), and advise in advance with issues or delaysCoordinate on ad hoc projects as requestedEstablish and maintain strong working partnerships with direct team and other location-based colleaguesHandle dynamic and stressful situations in a professional manner while working successfully as part of a team and independentlyDemonstrate ability to manage competing priorities and effective time management skills

 

Required qualifications, capabilities, and skills

At least three years professional experience and exceptional attendanceAdvanced ability to organize with strong interpersonal, written, and oral communication skills displaying a strong proficiency in Microsoft OfficeGood judgment, and proven experience interacting with senior managementDiplomacy, tact, confidentiality, and adaptability are essentialAbility to manage competing priorities i.e. calendar management

 

Preferred qualifications, capabilities, and skills

College degree is a plusCustomer Service Knowledge is essential and knowledge of the financial services industry is preferable

 

Note: This role requires five days in the office (Mon-Fri) and will not support Hybrid options.
