Security Operations Assistant

The Security Operations Assistant supports the operations, logistics, and administrative functions of Major League Baseball’s Security and Ballpark Operations Department. This person is responsible for aiding Department leadership in a variety of operational functions, including scheduling and administrative responsibilities related to event security, executive protection, budget tracking, document creation, and record-keeping. The Security Operations Assistant will report to the Senior Vice President of the Department but will perform duties in collaboration with the leadership and personnel responsible for all Department functions.

Responsibilities

Manage incoming communications, including answer/redirect phone calls, take detailed messages and act as needed Manage calendars, schedule ad hoc and regular Department meetings Create and edit documents, including letters, memos, security standard operating procedures, and other documents Manage Department shared drive to ensure accessible and secure storage of Department files, documents, and records Coordinate logistics for executive protection staff - arrange travel plans, rental cars, hotel rooms, and other protective operations equipment and material Oversee and manage process for execution of various contractual agreements Process invoices and accurately track Department budget Coordinate annual Resident Security Agent independent contractor agreements Process department invoices Support the protective intelligence report tracking and dissemination to stakeholders Mail documents and assist other department personnel with shipping Department equipment and supplies Coordinate the scheduling and logistics of Spring Training security briefings Prepare surveys for distribution to the Club ballpark operations personnel Assist Department leadership in planning the annual Security & Ballpark Operations Conference Assist with the management of security related content on the stadium operations portal available to the 30 Major League and 120 Minor League Clubs Perform other related duties as directed by Department leadership

Qualifications & Skills

Bachelor’s Degree from an accredited college or university One to three years administrative or operational support experience is preferred Strong oral and written communication skills Demonstrated ability to digest, analyze, interpret, and disseminate complex information in a logical and efficient fashion Ability to handle sensitive information with appropriate discretion Detail oriented, highly organized and excellent presentation skills Ability to manage deliverables with time-sensitive deadlines and work in a fast-paced environment Ability to work independently and to successfully integrate with a team Intrinsically motivated, reliable, critical thinker, with an analytical mindset Professional demeanor and an ability to communicate with diverse audiences Ability to travel frequently and occasionally on short notice, while maintaining availability outside of normal business hours Strong technology and computer skills including, but not limited to, Microsoft Office (Word, Excel, PowerPoint), Google (Drive, Docs, Sheets, Slides, Forms, etc.) This position is based in New York City

Salary Range: $62,500- $67,500 (Base Salary) + Bonus and Overtime
