Job Description
The Scheduling Coordinator / Associate Program Manager oversees the administrative coordination, scheduling, and project tracking for multi-site medical product installation, setup, and commissioning projects. This role ensures that project schedules are executed consistently, on time, and with thorough documentation, while supporting product vendors, field teams, and internal stakeholders through structured planning, clear communication, and diligent follow-through.
Responsibilities
+ Coordinate and manage schedules for multi-site medical product installations, setups, and commissioning activities to ensure timely and consistent execution.
+ Support and help lead field installation and commissioning activities, including quality assurance checklists, functionality verification, operational readiness, setup verification, calibration checks, and patient-ready standards.
+ Track project milestones, risks, and action items across multiple sites and ensure stakeholders remain aligned to timelines and deliverables.
+ Interpret and apply basic technical, construction, and installation documentation, as well as commissioning protocols, to drive consistent execution across sites and subcontractors.
+ Maintain detailed project schedules, timelines, and status updates using Microsoft Office and project tracking tools to provide visibility and accountability.
+ Prepare and update project documentation and reports to reflect current progress, issues, and next steps.
+ Coordinate with program leadership, field teams, subcontractors, and customer stakeholders to confirm site readiness, resolve issues, and maintain clear expectations.
+ Escalate risks, issues, and schedule conflicts in a timely and structured manner to support proactive problem resolution.
+ Manage multiple projects and priorities simultaneously, ensuring disciplined checklist execution and attention to detail in the field.
+ Contribute to a safety- and quality-focused culture by following established processes, standards, and documentation requirements.
+ Adapt to changing project requirements and timelines while maintaining strong organization and follow-through.
Essential Skills
+ 2–5 years of experience in project coordination, field operations, medical device, or related roles.
+ 2–5 years of experience supporting field installation and commissioning execution, including quality assurance checklists, functionality verification, operational readiness, setup verification, and calibration checks.
+ 2–5 years of experience in project coordination and schedule or milestone management, including tracking milestones, risks, and action items.
+ 2+ years of experience interpreting technical, construction, or installation documentation and commissioning protocols.
+ 2+ years of experience in cross-functional coordination with contractors, customers, and internal teams.
+ 2+ years of experience in project documentation and reporting using Microsoft Office and project tracking tools.
+ Strong understanding of project coordination, scheduling, and execution processes.
+ Ability to read and interpret basic technical, construction, or installation-related documentation.
+ Proficiency in Microsoft Office and project tracking tools.
+ Strong organizational skills with the ability to manage multiple projects and priorities simultaneously.
+ Excellent communication and interpersonal skills with the ability to collaborate across internal teams and external partners.
+ Strong attention to detail and problem-solving capabilities.
+ Demonstrated ability to work effectively in dynamic environments and adapt to changing project requirements and timelines.
+ Willingness and ability to travel up to 50% across the United States.
Additional Skills & Qualifications
+ Bachelor’s degree in Operations, Project Management, or a related field preferred.
+ Experience supporting field-based projects, installations, or commissioning activities preferred.
+ Safety- and quality-focused mindset with disciplined checklist execution.
+ Proactive risk management skills and strong follow-through.
+ Ability to translate technical requirements into clear field actions for teams and subcontractors.
+ Professionalism, clear communication, and the ability to influence without formal authority.

Work Environment
This role operates in a dynamic, field-oriented project environment focused on medical product installations and commissioning across multiple sites in the United States. You will frequently collaborate with program leadership, field teams, subcontractors, and customer stakeholders, balancing office-based planning and documentation work with on-site coordination and oversight. The position relies heavily on Microsoft Office and project tracking tools to manage schedules, milestones, and status reporting. Travel of up to 50% is required, and you will work in healthcare, medical device, and construction or installation settings where safety, quality, and adherence to documented procedures are critical.

This is a Permanent position based out of Valencia, CA.
Pay and Benefits
The pay range for this position is $54080.00 - $83200.00/yr.
