Scheduling Coordinator

This position is the first point of contact for and will be responsible for answering, responding and directing incoming calls, emails and general inquiries from customers regarding fire sprinkler services, inspections and emergency repairs. This role will provide administrative support to office leadership while performing a wide range of administrative and clerical tasks to ensure efficient day-to-day operations. This position will create inspection renewals and coordinate annual and quarterly inspections with customers and inspectors. This position will input and maintain data in building reports, online backflow portals and our mail merge to provide current information and accurate customer contacts. This position will ensure inspectors have completed inspections and prepared proper paperwork to be processed for billing.

Ability to manage multiple tasks, prioritize, and meet deadlines\nAbility to manage calendars and technician routes and inspection schedules\nMaintain and organize digital and paper files\nClear and professional verbal and written communication\nComfortable interacting with customers, field crew, & inspectors.\nProficiency in Microsoft Office (Word, Excel, Outlook)\nAbility to learn and use industry-specific software\nTyping and data entry accuracy\nAbility to work independently and handle interruptions\nMeet deadlines for customer submissions, scheduling and internal support \nAnticipate scheduling conflicts or documentation needs\nResolve minor issues without constant supervision\nFriendly and professional demeanor with customers and vendors\nWillingness to assist team members and resolve issues efficiently

Pay and Benefits

The pay range for this position is $19.00 - $22.00/hr.
