Job Title: Sample Management Specialist

1. Strong Sample Management and Data Reconciliation Skills - please have them elaborate - where/when/what capacity? 
Examples include:  
Demonstrated experience in managing sample data, including resolving discrepancies and troubleshooting issues across clinical studies.

Proven ability to serve as a liaison between sample management, central labs, data management, and clinical teams

2. Proficiency with LIMS and Excel - Where/when/what capacity?
Examples include:

Hands-on experience using Laboratory Information Management Systems (LIMS) to track, manage, and analyze sample data.

Advanced Excel skills (e.g., VLOOKUP, pivot tables, conditional formatting) for analyzing sample metadata and resolving data issues.

3. Cross-Functional Collaboration and Communication - pull this experience out of them when speaking to the candidate - where/when/what a capacity?

History of effective communication with internal stakeholders and external partners (e.g., CROs, labs, vendors) to coordinate and resolve sample-related queries.

Comfortable navigating complex team structures and supporting cross-functional alignment.

4. Clinical Trial Operations and Regulatory Knowledge - please have them describe their experience working on clinical trials, with operations, DM and Regulatory.  

Solid background in clinical trials, clinical operations, or clinical data management, with an understanding of regulatory compliance, timelines, and quality standards related to sample handling and data integrity.



Job Description:  

Independently performs sample management data cleaning activities demonstrating masterly-level technical skills in managing sample data processes and troubleshooting problems.  Demonstrates a high level of attention to detail to support reconciliation activities. Acts a liaison between sample management, Central Lab, clinical team and data management to identify, address, and rectify sample data issues.  Maintains a high level of rigor while driving for quality results. Acts as key point person in problem-solving, design and execution of work delegated by the sample management study lead to address issues and discrepancies. Thoroughly understands client’s processes and works with them to ensure results are met according to established timelines.

 

As a Temp Specialist, a typical day may include:

Applies mastery-level technical skills to perform sample management activities in their area of assignment.

Has experience with Laboratory Information Management Systems (LIMS) software. Can implement LIMS functions to support sample management activities.

Has advanced knowledge of Microsoft Excel and can independently analyze and interpret discrepancies in sample metadata with high quality. 

Independently collaborates with internal and/or external collaborators to facilitate data discrepancy resolution.

Proactively identifies and troubleshoots issues in area of technical expertise or assignment and addresses the situation appropriately, presenting information to management in a clear and concise manner.

Independently handles high priority and high volume tasks within the appropriate timeframe while maintaining accuracy.  Operates effectively in ambiguous and complex situations. Anticipates changing priorities and initiates actions with the appropriate parties.

Facilitates data reporting needs for clinical study queries surrounding sample inventory.

Manages sample management activities for assigned studies to ensure company timelines are met and objectives are achieved.

Maintains effective verbal and written communication both internally and with external collaborators and vendors. Communicates with CRO’s, central labs, and third-party vendors to support sample management responsibilities.

Conducts him /herself with professionalism and integrity while consistently driving results forward.

Operates effectively in the face of ambiguity and change.

Communicates and collaborates effectively across levels and groups in different settings, conveying information in a compelling and articulate way, while fostering robust two-way dialogue.

 

To be considered for this role, the candidate must have:

A Bachelors or Masters Degree At least 8-10 Years experience Clinical Trials, Clinical Operations, or Clinical Data management experience
