Grand Hyatt Indian Wells Resort & Villas is seeking a Sales Executive Administrator to support our Sales team. This role plays an important part in keeping the department organized and running smoothly by supporting sales operations, managing documentation and reports, and assisting with financial and administrative processes. This position is ideal for someone with experience in sales administration, sales coordination, or administrative support. Position Overview The Sales Executive Administrator provides administrative support and sales coordination for the Sales team, ensuring sales records, contracts, reports, and internal processes remain accurate and organized. This role works closely with the Director of Sales and Sales Managers to process commissions, prepare sales contracts, manage departmental expenses, and support month-end reporting. The Sales Administrator also assists with proposals, site visits, and client communications while maintaining organized sales documentation and files. The ideal candidate is highly organized, detail-oriented, and comfortable working with reports, contracts, and financial information. Strong communication skills, time management, and the ability to handle confidential information with discretion are essential. Pay Rate The hourly pay range for this position is $23.00 to $25.00. Individual compensation decisions are based on factors such as experience, education, and overall qualifications. Key Responsibilities • Maintain and update sales records, files, and systems to ensure all data is accurate, organized, and up to date • Process group sales contracts, rebates, loyalty bonus points, and third-party commissions • Manage sales expense reports and assist with tracking departmental expenditures • Prepare and distribute sales reports and assist with performance tracking • Support month-end closing processes and maintain accurate sales documentation • Coordinate communication between the Sales team, internal departments, and clients • Provide administrative support to the Director of Sales and Sales Managers, including preparing proposals, contracts, and client correspondence • Assist with sales coordination tasks, including proposal preparation, contract documentation, reporting, and client communication • Assist with coordinating site visits and other sales activities as needed • Maintain confidentiality when handling financial, associate, and client information Benefits Hyatt offers a comprehensive benefits package designed to support your well-being and growth.
