Main Duties
Administration
§ Ensure that an efficient and accurate filing system, both manually as well as electronically is maintained at all times.
§ Establish an efficient trace File to ensure that all business booked is properly tracked.
§ Assist in consolidating and preparing Sales report.
§ Assist in making room reservations and hotel tours.
§ Assist in taking all phone calls of the department especially when the team is on sales calls.
§ Assist all segments (corporate, leisure and consortia) when needed.
Customer Service
§ Entertain and conduct hotel inspections to clients whenever required.
§ Establish and maintain strong relationship with the established clientele.
§ Liaise and work closely with the related operation departments ensuring guest's requests and expectations are being met.
§ Handle guest and employee enquiries in a courteous and efficient manner, reporting complaints or problems. If no immediate solution can be found, to ensure that the necessary follow-up is conducted in a timely manner.
§ Maintains positive guest and colleague interactions with good working relationships.
Marketing
§ Assist to conduct extensive competitor research and maintain excellent Product Knowledge of the Hotel.
§ Make sure a high standard level is respected via telephone etiquette and written communications.
Operational
§ Ensure that the relevant information of all allocated Accounts is being updated regularly in the record or electronic database system.
§ In the absence of the Director of Sales/ Sales Manager/ Sales Executive, responds to all telephone calls or inquiries, ensure information/ messages are accurately received and relayed to the managers concern in a timely manner.
§ Follow up sales leads whenever required or assigned by the Sales Managers/ Executives.
§ Prepare, compile and distribute weekly/ monthly reports in a timely manner when needed.
§ Assist in the compilation of Market Surveys and Competitor Researches report.
§ Assist in the distributions of relevant hotel information to clients when required.
§ Assist/ participate in sales blitz.
§ Maintain good relationship with the established clientele and provide all necessary assistance when required.
§ Liaise and work closely with the related operation departments ensuring guests needs and expectation are being met.
§ Assist the Sales Manager/ Executives to follow up on all matters in the absence of the Sales Manager/ Executives.
§ Ensure that a professional and appropriate image is projected at all times while on duty.
§ Maintain a detailed knowledge of hotel facilities, features and services.
§ Assist in every day bookings
§ Assist in creating alerts in our agendas when needed
Other Duties
§ Ensure high standards of personal presentation and grooming.
§ Exercise responsible behavior at all times and positively representing the hotel management team.
§ Respond to changes in the Sales function as dictated by the industry, company and hotel.
§ Read the hotel's Employee Handbook and have an understanding of and adhere to the hotel's rules and regulations and in particular, the policies and procedures relating to fire, hygiene, health and safety.
§ Attend training sessions and meetings as and when required.
§ Carry out any other reasonable duties and responsibilities as assigned.
§ Must remain motivated, competitive and accountable and have a solid understanding of current industry trends both local and international.
