Sales Coordinator

The Sales and Marketing Coordinator will assist the Director of Sales, Events and Marketing (DOSEM) with administrative duties including, but not limited to administrative support, presentation preparation, and VIP client engagement. The Sales and Marketing Coordinator is also required to provide administrative support to the General Manager. Success in this role will require the ability to seamlessly balance competing priorities, proactivity, an innovative mindset as well as strong follow through. **Position Responsibilities/ Essential Functions** + Assist with planning and overseeing arrangements for trade shows, fam trips, media tours, photo shoots and other hotel promotions + Provide support with sourcing and arranging a variety of Marketing collateral material + Assist with Social Media and Website Content Management as directed by the DOSEM + Oversee the Gift Certificate program (paid and comp) on behalf of the hotel + Generate marketing reports, create presentations, and conduct research. + Responsible for the department Purchase Orders (Pos) which includes, creating and monitoring Pos and invoices, ensuring monthly accounting processes are completed. + Monitoring expenses in internal accounting systems as directed by the DOSEM + Creating and tracking internal billing for Audio Visuals and other related suppliers + Responsible for booking and tracking all internal meetings. + Maintain database of the Hotel’s top corporate clients, VIPs and Government Ministers + Serve as the point of contact for clients and communicate with them by phone and email to respond to questions and requests. + Provide administrative support to the General Manager. This includes completing financial and operational reports as identified. + Answer guest questions about property facilities/services (e.g., hours of operation, rates and room types, packages, promotions, entertainment, restaurants, special events) + Complete various additional tasks and assignments as needed. View ourVirtual Reality Experience (https://www.youvisit.com/tour/hyatt/141102?pl=w&tourid=tour1) to spend a ‘day in the life’ of a hospitality professional at a full-service hotel. **Qualifications:** + Diploma, ABE or Associate Degree in Business Management, Marketing or other related discipline + BSc Degree will be considered an asset + Minimum of 3 years general work experience with at least 1 year experience relevant to the role. + Excellent computer skills, especially Microsoft Suite. + Intermediate /Advanced of Excel is required + Knowledge of social media best practices. + Basic knowledge of Canva or similar graphic design or graphic art technology. + Proven business communication (verbal and written) skills; + Must be able to work on tasks with minimum to no supervision + Demonstrated ability to prioritize competing tasks and deadlines + Must demonstrate a high level of confidentiality + Must be able to maintain the required a high level of attention to details, while dealing with multiple interruptions. + Knowledge of hotel operations and the interdependence of each department will be an asset. + Positive attitude: Willingness to "go the extra mile to get the job done"; + Ability to demonstrate care and empathy to both internal and external guests; **Primary Location:** TT-TTI-Port of Spain **Organization:** Hyatt Regency Trinidad **Pay Basis:** Hourly **Job Level:** Full-time **Job:** Administrative **Req ID:** POR002257 Hyatt is an equal employment opportunity and affirmative action employer.
