The Sales Coordinator role will join our Brokerage team and provide high level office management and broker support, often handling a large number of details relating to complex commercial real estate transactions, for multiple leasing and sales brokers.  Our Team of advisors specializes in industrial, office, land leasing and sales in San Jose, Silicon Valley and South Bay. You will help manage deal transactions, customize marketing materials, client interaction, new business activities, moderate financial management, and general administrative support.  In addition, working with the marketing team to support marketing activities associated with helping commercial real estate owners market their existing buildings or buildable land to prospective occupants and developers. Key responsibilities

Sales Coordination:

Prepare documents including Request for Proposals, Letters of Intent, customer and prospect correspondence etc. with direction from brokers and/or knowledge of company policies, procedures, and best practicesTrack and have knowledge of JLL technologies, maintain access to resourcesCreate and edit presentations, pitches, and client deliverables for prospect/client meetings with PowerPoint, Adobe InDesign and Microsoft SoftwareGather research information and create market surveys and tour books by adding building information, maps and pictures and CoStar dataOrganize and participate in periodic client meetings and/or callsProcess deal file paperwork, gather and label required documents, obtain necessary approvalsUpdate and maintain broker professional profiles and other team marketing related material as neededProvide interface for brokers on IT issues, including computer needs, email, calendar maintenance, voicemail, phone, and other related technology and equipmentTrack and process broker expense reportsParticipate in regular coordinator and business unit meetings and trainingsPerform general duties such as printing, binding, scheduling meetings, making travel arrangements to further support and leverage the sales processDuties assigned as the business needs require

Marketing Coordination:

Work with marketers and business partners to gather/curate content and execute marketing tactics including brochure/flyer development, email submissions, social media tiles, direct mail, and event coordination.Manage multiple projects simultaneously with minimal direction to the satisfaction of brokers and their clients.Manage property listings across multiple platforms (MyListings, OLM, CoStar, LoopNet, etc.) to ensure accuracy and consistency Develop, order and manage signage installationCreate and update property marketing emails independently or through our digital marketing team and maintain email distribution scheduleActively and regularly update contact/distribution listsAssist with tracking of marketing plans and budgets, including objectives, timelines, marketing elements, costs, metrics, etc. Develop creative briefs to engage with creative team and partnersContribute to standardized client-reporting documentsOversee photography, videography and other vendor coordination requests as needed to support assigned propertiesBuild and maintain internal stakeholder and external vendor relationshipsEnsure marketing efforts are aligned with JLL best practicesMaintain portfolio of marketing deliverables and share best-in-class creative with network and JLL teams.Ensure updates and edits are made to materials with new availabilities and floors/suites leased across all materials and platformsHelp with ideation, coordination and execution of broker open houses, including potential management of outside vendorsOffer support with special projects as needed and as time allows

Estimated compensation for this position:

70,000.00 – 75,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
