Sales & Catering Coordinator
Job Description

Job summary -

To maintain a positive public image for Rosewood Mansion on Turtle Creek while actively supporting the sales, catering, marketing and revenue team through an efficient and smooth execution of all department duties.  

 

Essential Duties and Responsibilities – (Key Activities)

The following are specific responsibilities and contributions critical to the successful performance of the position

Perform all administrative tasks for the departmentPrepare and distribute daily and weekly catering function sheetsMaintain sales and catering filing systemsMaintain accurate files in Delphi/Sales ForceMaintain weekly and monthly Delphi/Sales Force audit reportsPrepare banquet checks and monthly department sales summary Provide RFP assistance for corporate, group and catering managersWork with managers on proposals, contracts, client events, sales trips, special projects, etc. Assist managers with monthly and quarterly production reports Maintain adequate supplies and produce departmental orders through Birch Street ordering procedures Provide marketing support, particularly during marketing budget processCreate Open Table restaurant reservationsFacilitate site visits and tours for managers when required Book bridal portraits as required  Create, log and monitor all gift certificate requestsAssist Sales Manager with Travel Industry requests and bookingsResearch and coordinate commission payments on weekly basisCoordinate catering room reservation requests and wedding comp usage requestsProvide Group Rooms Control supportRooming listsAudit Sales Force and OperaRoutingGroup Room booking linksCourtesy (elastic and non-elastic) room requirements

     

       Experience -

1-2 years hotel, restaurant, office, etc. experience preferred

 

       General Skills –

Perform job functions with attention to detail, speed, and accuracyPrioritize, organize and follow-up on all actionsBe a clear thinker, remaining calm and resolving problems using good judgmentFollow directions thoroughlyUnderstand guest service needsWork cohesively with co-workers as part of a teamWork with minimal supervisionMaintain confidentiality of guest and client information and pertinent hotel data.

 

       Technical Skills -

Strong written and verbal communication skillsProficient in Word and ExcelExceptional interpersonal skills - able to work closely with all internal associatesAbility to prioritize and organize work assignmentsAffinity for detailAbility to meet deadlines

 

        Education or Certification -

College degree preferred

 

        Language -

Required to speak, read and write English

 

        Physical Requirements

Must be able to endure various physical movements throughout the work areas, reach up and down, remain stationary at times throughout work periods, lift up to20 pounds, and satisfactorily communicate with guests and co-workers to their understanding.
