This role involves performing the administrative activities within the Industry Business Unit.
It is a junior role for young professionals with minimum 2 years of experience in office administration from similar industries, like TIC (Testing, Inspection and Certification), laboratory or similar.
The ideal candidate is keen on learning and self-growth and demonstrates curiosity, adaptability and flexibility.
Responsibilities and main activities:
Receives client requests by email, takes phone calls from current and potential new clients, providing them with general information on the services offered. Maintains contact with the existing clients. Processes and sends to the clients the commercial offers approved at the division level. Register and update the offers for the Industry division; Issue the contracts with the department's clients and subcontractors/additional documents based on the models used in the company and the details provided by the BU Manager and keep records of the validity of the contracts/additional documents. Prepares invoices and sends them to clients. Checks monthly the invoices and performance sheets received from the employees of the division. Keeps track of issued and unpaid invoices. Sends warnings to clients regarding delays in the payment of invoices. Ensures the correct delivery of results and prepares reports at the request of management, according to the agreed terms. Enters and manages the data/offers/contracts in the CRM (Salesforce, …) system, ensuring the system is up to date. Carrys out the operation/validation/data processing activity in accordance with the internal work procedures. Follows the development of the projects from the point of view of the issuance and traceability of the documents related to the signed contracts. Provides general support to the Industry Division. Prepares periodic reports according to the internal requirements. Keeps records and archives the documents issued by the members of the department.
Professional requirements:
Bechelor degree in Business administration/Economics/Engineering Knowledge of English – fluent in writing and speaking Attention to details Willingness to learn Excellent computer skills (Excel, PowerPoint);
