THE ROLE Essential Duties and Responsibilities (Other duties may be assigned) + Create contracts and proposals. + Organize, update, and maintain file systems, calendars, and other records. + Conduct research and compile and type statistical reports. Complete monthly facility reports. + Coordinate and arrange sales staff and other meetings, reserve and prepare meeting locations. + Conduct research and order promotional items for trade shows and client gifts. + Prepare outgoing mail and email correspondence. + Order and maintain office supplies, as well as arrange for equipment maintenance. + Receptionist support when needed. + Route incoming mail. Locate and attach appropriate file to correspondence to be answered by Director or Assistant General Managers. + Provide support to Sales and Event Services Department. Supervisory Responsibilities (if the specific role needs it) This position does not have supervisory responsibilities. Education and/or Experience + High School diploma or G.E.D. + Two years related administrative experience Skills and Abilities + Tech-Savvy: Proficient in Microsoft Office, CRM platforms (e.g., Salesforce), and cloud tools like SharePoint. + Organized: Strong multitasking, calendar management, and attention to detail. + Communicative: Clear written and verbal communication; professional client interaction. + Collaborative: Team player with a proactive, solution-oriented mindset. + Adaptable: Comfortable in fast-paced environments with shifting priorities.
