Rooms Experience Specialist (Part-Time) - New York Hilton Midtown

The New York Hilton Midtown is looking for a part-time Rooms Experience Specialist to join our team.

The ideal candidate will have previous hotel experience, preferably in sales, marketing, front office, reservations, availability to work in-person (this is not a remote role), availability to work Monday to Friday between the hours of 9am and 5pm, experience using OnQ, PassKey, and Delphi.

 

 

 

Shift Pattern: Monday – Friday 9:00am – 5:00pm

 

Classification: Part-Time

 

Pay Range: $32.00 - $38.65 / hour

What will I be doing?      

 

As a Rooms Experience Specialist, you would be responsible for managing both administrative and executive functions that support the Commercial Department. Acting as a key intermediary between customers and internal departments, this role ensures seamless communication and coordination to deliver exceptional group and room experiences.

 

Specifically, you would be responsible for performing the following tasks to the highest standards:

 

Guest & Client Communication

Manage and direct all incoming emails to the Reservations team shared inbox and the Guest Services inbox ensuring timely, professional responses.Act as a key intermediary between guests, clients, and internal departments by managing email and phone inquiries effectively.Liaise with third-party booking platforms (e.g., Booking.com, Expedia) to handle guest messaging and resolve inquiries.Answer high-volume incoming phone calls, directing them appropriately or taking accurate, detailed messages for follow-up.

Group Reservations and Inventory Management

Oversee crew and airline reservation schedules and process airline reservations for all contracted airlines on a monthly basisMonitor and update airline inventory and schedules in R&I and related systems, releasing or adjusting inventory based on room type changes or operational needsCreate and maintain BTS, FIT, and non-group masters in OnQ to ensure accurate reservation data flowParticipate in the NBC Alert process for multi-room bookings requiring manual handlingCreate and manage reservations for Sales and Executive Office requests, as well as complimentary and house use staysOversee suite booking management to ensure proper allocation and to prevent overbooking or suite shortagesVerify and submit monthly inventory updates to HRCC for designated airline and crew accountsMonitor HGVC daily emails and handle inventory challenges not addressed by automated systems

Sales, Groups & Catering Support

Understand and work with sales contracts, amendments, and addendums to support accurate reservation processesPrepare room blocks, guaranteed room letters, group resumes, and group information sheetsAssist with the preparation of reports, proposals, forecasts, information sheets, and rooming lists related to group bookings and room inventory management

System & Software Proficiency

Utilize industry-specific tools and software platforms including OnQ, Passkey, Group 360, GRIP, GROW, Delphi FDC, R&I, RMCC, HRCC, and others to streamline workflows, track group bookings, manage reservations, and enhance operational efficiencyAccurately log activities, leads, and reporting data in systems like Delphi FDC

Administrative Support & Collaboration

Perform administrative tasks such as typing, scanning, printing, filing, and data entry related to sales and reservationsProvide ongoing support for reports, correspondence, and operational documentsCollaborate with HRCC Group & Tour team to process FIT reservations and resolve rate disputes or inquiriesPartner with team members to support high-impact segments such as holiday bookingsComplete additional administrative duties and special projects as assigned by the Director of Rooms Experience or Director of Event Experience

Organizational Skills

Maintain acute attention to detail while managing multiple tasks in a fast-paced, deadline-driven environment

Prioritize tasks effectively, demonstrating strong time management, organizational skills, and adaptability under pressure
