About the Role
The Human Biology Division is home to 24 faculty-led labs focused on cancer and infectious disease research. We’re looking for a Research Administrator (RA) III to join our team and support the Prostate Cancer Program. This is not a central admin role - our RAs work closely with labs to help them navigate the full life cycle of grants and handle day-to-day logistics that keep research running.
This is a fast-paced, high-volume role where things move quickly, and faculty may not always be available. The ideal candidate can stay organized under pressure, take initiative, and enjoys making complex systems run more smoothly behind the scenes. Our admin team leans on each other for support, values clarity and kindness, and believes in doing high-quality work with integrity and respect. In our dynamic environment, we prioritize learning as we go and helping each other figure things out.
Work Location
This role will start as full-time on campus. After training and onboarding, there may be an option to shift to a hybrid schedule, depending on performance and program needs.
Grants & Financial Management
Manage the full lifecycle of sponsored research: submissions, budgeting, compliance, reporting, subawards, and closeoutsOversee complex, multi-source budgets and provide regular financial updates and forecastingLiaise with sponsors and Fred Hutch offices on policies, guidelines, and submissionsTrack sponsor and institutional policy changes, ensuring ongoing complianceCreate timelines, monitor progress, and take necessary follow-up actions
Regulatory Support
Prepare and submit non-scientific portions of regulatory documents (e.g., IRB, IACUC, MTAs)Maintain up-to-date compliance documentation (EMUAs, CMUAs, licenses)
Administrative & Operational Support
Manage HR tasks (e.g., onboarding, offboarding, affiliate agreements)Train lab staff on systems and policies; manage time and effort reportingHandle reimbursements, travel arrangements, ProCard reconciliation, and faculty license renewalsSupport lab operations (e.g., orders, equipment transfers, general logistics)Serve as liaison with internal departments and a point of contact for program-related inquiries QualificationsMINIMUM QUALIFICATIONS:
A Bachelor's Degree or 3 years relevant experience. Minimum of one year experience managing federal and/or non-federal sponsored research.Advanced proficiency with Microsoft Office/AdobeWorking knowledge of Excel formulas and functions such as creating formulas and working with Pivot TablesAbility to edit SharePoint sites or basic web pagesKnowledge/prior experience with Enterprise Software SystemsAbility to source data from systems and generate customized reportsEfficiently planning, organizing, and prioritizing your work as well as that of othersAbility to tailor communications to specific audiencesAbility to navigate complex internal systems and departmentsBasic budgetary knowledge (ability to reconcile, manage, report budget information, etc.)Basic knowledge of accounting terminologyKnowledge of relevant regulatory guidelines such as IRB, IACUC, MUAPrior experience or exposure to grant writing/applicationsPREFERRED QUALIFICATIONS:

The annual base salary range for this position is from $82,846 to $124,238, and pay offered will be based on experience and qualifications.
