Manages the employment administration and benefits operations team and related projects and initiatives.
• Coaches, facilitates, and motivates the teams to create accountability for meeting quality and service level goals on a consistent basis.
• Removes barriers to achieve individual and group objectives.
• Responsible for all aspects of directing talent management including hiring, equipping colleagues with skill and knowledge, salary planning, operationalizing work, appraising performance, professional development, recognition, and coaching.
• Participates in establishing annual departmental goals, budget preparation & management. Suggests & initiates ongoing process improvement to departmental processes as needed to improve overall customer service, efficiency & exceptional communication.
• Ensures development & ongoing edits/changes to online knowledge articles, job aids, training, brochures, FAQ’s & other related written correspondence, documents & forms.
• Tracks and monitors key metrics, program data, benchmarking data, goal achievements and team results. Refines and develops new reports to accurately reflect department progress, work/task volumes. Creates appropriate reports or dashboards to present to leadership.
Responsible and accountable for managing a variety of employment administration-related actions across all ministries of Trinity Health including but not limited to:
• Employment status changes (data changes)
• Terminations
• EIB production, zero outs, mass uploads
• PTO Banks maintenance (state law compliance and policy); PTO donation; PTO reconciliation; PTO payouts
• Time off partner management for: Sick bank management, float holiday personal days, grandfathered sick banks, active sick banks, non-standard PTO payouts, open enrollment cash-out process, CME hours, etc.
Partners with a variety of other key stakeholders from Total Rewards and plays a key role in overseeing the annual benefits open enrollment planning and implementation process, or related benefits activities for the HR Shared Services including but not limited to:
• Annual benefits open enrollment guide review, and colleague experience support
• HR Shared Services open enrollment training on benefits and/or Workday open enrollment changes
• Post-open enrollment appeal review
• Adoption assistance processing
• Essential Assist application processing
• Out-of-area processing and manual benefits open enrollment/vendor interface
• Flexible spending account (FSA) discrimination testing
Applies thorough understanding of HR-related systems (e.g. - Workday, Kronos and other tools) and their integration with other applications and the downstream impact of transactions on benefits, pay, and other areas. Ensures procedural compliance for all colleague contacts (case creation, case resolution within service levels, etc.)
Minimum Qualifications
• Bachelor’s Degree or equivalent level education and experience
• 5 years of prior human resources experience required.
Additional Qualifications (nice to have)
• 2+ years of previous leadership experience preferred.
• Prior employee benefits experience including active participation in helping to manage an annual benefits open enrollment campaign preferred.
• Familiarity with Workday, applicant tracking, and HR case management systems preferred.
