Regulatory Affairs Coordinator

Key responsibilities

 

Administrative support

Document Management: Organize, maintain, and archive regulatory documentation, including test reports, SDSs, certifications, permits, and supplier compliance data. Data Entry & Tracking: Perform accurate data entry into regulatory databases and tracking systems for submissions, compliance activities, and product information. Correspondence & Communication: Assist in preparing and formatting correspondence, reports, presentations, and other documents for internal and external stakeholders, including regulatory agencies. Meeting Support: Schedule and coordinate meetings, prepare agendas, take minutes, and follow up on action items. Travel Arrangements: Assist with travel arrangements and expense reports for the Regulatory Affairs team, if required. General Administrative Duties: Perform other administrative tasks as needed to support the efficient operation of the Regulatory Affairs and Legal departments.

 

Regulatory support

Filing & Submissions: Assist in compiling, proofreading, and preparing regulatory filings and submissions, ensuring all necessary documentation is included and accurately presented. Research Support: Assist the Regulatory Affairs team members with basic research on regulatory requirements and guidelines, as directed. Supplier Information Management: Help maintain records of supplier certifications and compliance documentation, particularly related to the Lacey Act (timber sourcing) and TSCA/CARB (chemical substances). Labeling Review Support: Assist in reviewing product labeling and packaging for adherence to CPSC, TSCA, CARB, and Law Label requirements.

 

Internal collaboration and communication

Cross-functional Coordination: Facilitate communication and information exchange between the Regulatory Affairs team and other departments such as Product Development, Manufacturing, Quality Control, and Supply Chain. International Coordination: Occasionally assist in coordinating with international team members or suppliers, which may require flexibility in working hours to accommodate different time zones. Training Support: Assist in preparing materials for internal training and educational initiatives related to regulatory compliance.

 

Qualifications and skills

Education: High school diploma or equivalent required. Associate's degree or certificate in a related field (e.g., administrative assistant, legal assistant) preferred. Experience: 1-3 years of experience in an administrative support role, preferably within a legal, compliance, or manufacturing environment. Regulatory Familiarity: Basic understanding or interest in regulatory compliance, particularly related to product safety and environmental regulations, is a plus. Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Experience with document management systems or regulatory databases is a plus. Organization & Detail Orientation: Exceptional organizational skills and meticulous attention to detail are essential for maintaining accurate records and handling sensitive regulatory documentation. Communication: Strong written and verbal communication skills. Time Management: Ability to prioritize tasks effectively, manage time efficiently, and meet deadlines in a dynamic environment. Adaptability & Collaboration: Ability to work independently and as a team member, and adapt to changing priorities and regulations.
