Regional Facilities Manager

OVERALL ROLE
This role oversees the end-to-end operations within the assigned portfolio of Singapore, Malaysia and Australia. The primary objective is to deliver an exceptional workplace experience by prioritizing human-centric, engagement-focused activities. Responsibilities include managing teams, site operations, service contracts, sourcing, procurement, and financial decisions—all aimed at achieving operational excellence while ensuring safe working practices in all aspects.
This role serves as the primary liaison between the SEA, AU client and the JLL team for workplace activities. It supports account initiatives by ensuring consistent implementation of operational excellence and service delivery. A key part of this role is fostering engagement and collaboration with other regions and local JLL teams as needed, interacting with various lines of business and occupants to provide an exceptional service experience.

Leadership & Team Management:

Team development will be thoughtfully achieved through skills and performance assessments, timely training, regular 1:1’s, follow ups and oversight will allow you to manage your team’s workload
Understanding the criticality of hiring, promoting or developing the right people at the right time, you will engage closely with internal COE’s and HR to effectively resource and build workforce planning and succession plans for our teams and vendors
Encouraging your teams to engage with peers on other accounts, attending JLL Integrated Facilities Management events to share knowledge, best practice and sharing market updates will be a key focus
Operations:
Further development of SOP’s and ensuring smooth procedural implementation will provide seamless service. You will be skilled in simplification and accuracy improvement of work methods to ensure reliability of systems and consistency of delivery.
Critical to the role, your input on developing space planning ideas and strategies that meet the changing demands of the business creating both strategic and tactical solutions is key.
You’ll play an important role in ensuring the delivery of major/minor capital works projects and associated moves / changes are done in accordance to the guidelines set by our Client.
Budgeting and spend management will be a finely tuned skill, you will own financial processes and controls to ensure that the country’s financial operations are meeting or exceeding targets.
Educating your team on compliance with JLL and our Client’s H&SE (health & safety environment) and Risk Management policies and procedures.
A component of your role will be supporting UX (User Experience) programs, new technology system / tool roll-outs, training programs / workshops etc, through driving implementation and consistency.
Reporting, analysis, data driven decisions will be your , you’ll be confident and well informed when conducting presentations
Sourcing & Vendor Management:
Oversee all vendor contracts to ensure that they are professionally delivered with value for money outcomes, well-monitored and re-negotiated as required to ensure the best value to the Client.
Ensure the strategic sourcing initiatives across the portfolio are followed and all the JLL provided tools are utilised.
Provide guidance to the site teams to ensure appropriate processes are followed to conduct major sourcing/procurement activities.
Ensure vendors performance is managed, and all services are delivered as per the contract.
Client/Stakeholder Management (in support of the Account Executive)
Develop and manage Client relationships, ensuring that programs and projects implemented are aligned with Client’s vision, priorities and targets.
Comply with all requirements of the Client contract, meet or exceed Key Performance Indicators.
Deliver an exceptional quality of service to the Client.
Quality Management
Develop, implement, and maintain quality assurance protocols in accordance with internal standards and industry best practices.
Conduct regular quality audits and inspections to assess compliance, identify gaps, and drive continuous improvement initiatives.
Collaborate with cross-functional teams to address quality-related issues and implement corrective and preventive actions (CAPA).
Track, analyze, and report on key quality metrics and KPIs to inform strategic decision-making.
Foster a culture of quality across the team through training, process documentation, and knowledge sharing.
CANDIDATE SPECIFICATION: KEY SELECTION CRITERIA
Ideal Experience
Excellent verbal and written communication skills as well as presentation skills
Able to adapt in a fast-paced working environment and versatile in meeting client changing needs and requirements
Strong analytical, organization and administration skills
A minimum of 6 years in the facility management industry/hospitality industry
An added benefit would be a Bachelor’s degree in hospitality or other related field; however, this is not a must
Deep understanding of the workplace environment and a keen interest in emerging technologies and trends relevant to the workplace.
