Receptionist (Auxiliar Administrativa)

Opportunity summary: As a CS Shipping Tech-Receptionist, you will serve as the face of Smurfit Westrock for customers and visitors to the facility. You will serve and support the Administrative Assistant and the Customer Service Manager and other staff with administrative duties in a fast-paced and collaborative environment. In addition, you will perform other job duties as assigned, including project-related work to support various functions such as safety, quality, cost savings, continuous improvement, environmental, reliability, training, and data integrity.

 

How you will impact Smurfit Westrock:

Welcomes on-site visitors, determines nature of business, announces visitors to appropriate personnel, directs visitors as needed, provide safety orientation assuring they sign visitor’s agreement.Answer incoming telephone calls, determine the purpose of callers, and forward calls to appropriate personnel or department.Retrieves messages from voice mail and forwards to appropriate personnel.  Returns calls as needed.Receive, sorts and routes incoming correspondence and packages as well as prepare outgoing correspondence.Schedule, coordinate and manage meetings/conference calls and related activities including on-site meeting logistics.Facilitate ordering and maintenance of department office supplies, maintaining proper inventory levels for designated areas. Prepare and run reports, including but not limited to productivity backlogs and daily booking orders.Prioritize daily routines and be flexible to accommodate changing priorities.Audit customer specification file and keep records up to date.Assist the Customer Service team on daily routine such as, but not limited to order entry, filing, digitizing records, preparing letters or memorandums, preparing miscellaneous invoices, quotations, maintaining and revising customer warehouse agreements, and sending order confirmations.Coordinate logistics of export products including the preparation of required documentation and compliance with Federal or local laws.Process cash sales and coordinate logistics with the Accounting and Shipping Department.Align with standard SOP’s and work instructions.Cover during Customer Service vacation or absences.Perform other clerical duties as needed.

 

 

What you need to succeed:

Associate degree or equivalent in experience working with similar task.1+ years of administrative support, customer service, sales, and logistics support experience, preferably in manufacturing environmentBilingual is required: Spanish and English.Strong written and verbal communication skills in Spanish and English.Typing skills: 65wpmProficient with Microsoft Office Suite.Demonstrated ability to learn new software programs.Strong interpersonal and customer service skills.Diligent with great attention to detail.Demonstrated successful track record of effective problem-solving.International export and trade experience, preferred.Possess strong collaboration skills with stakeholders across functions.Ability to set priorities, achieve deadlines, and manage multiple tasks at the same time.Ability to work unsupervised and to function both independently and as a team member.Demonstrates strong organizational and time management skills.Demonstrates a high level of professionalism with high enthusiasm and team-oriented.
