What this job involves:
This position serves as the face of JLL, creating a welcoming yet professional image while being stakeholders' first point of contact to demonstrate we are the kind of company they want to do business with. You will provide support on handling visitor management and access to staff using the global visitor management system while coordinating with Corporate Security/Badge Team on access and assisting in procurement of supplies and services as required. This role contributes to JLL's business objectives by providing support in conducting site inspections and assessments that prioritize meeting customer needs, maintaining premises especially reception counter in good working condition, overseeing event management and room bookings, and achieving KPI and SLA targets while ensuring clients, vendors, and employees enjoy a safe and positive experience.
What your day-to-day will look like:
Meet and greet visitors and customers while registering visitors into site and providing general Amazon telephone answering and call transferring servicesMaintain front desk and lobby areas in neat and organized manner while projecting highly professional manner representing client positivelyHandle visitor management using global visitor management system while coordinating with Corporate Security/Badge Team on access requirementsOversee event management, room bookings, calendar invites, and assist with basic IT troubleshooting including AV/VC equipmentCoordinate with pantry staff to ensure pantry, office, and other supplies are always in stock while providing support to FM Team on space managementReceive incoming accountable deliveries and facilitate distribution to proper department locations while arranging local taxi service and courier pickupsContact security immediately for security breaches while initiating emergency procedures consistent with location emergency response guidelines.Required Qualifications:
Exceptional customer service skills with ability to demonstrate high levels of integrity in handling enquiries, issues, and complaintsProfessional communication abilities for telephone answering, call transferring, and responding to general questions and inquiriesUnderstanding of visitor management processes including maintaining visitors log, issuing visitor badges, and enforcing building access policiesKnowledge of emergency procedures and ability to contact appropriate authorities when situations require escalationSkills in maintaining confidentiality at all times while handling administrative support functions and client informationAbility to work with Building Management for security forms, visitor lists, and vendor coordinationCapability to follow escalation and incident reporting procedures while complying with safety guidelines.Preferred Qualifications:
Experience in reception and facilities administration roles with knowledge of office supplies inventory managementBackground in handling paperwork on maintenance-related activities and updating phone directories and company brochuresUnderstanding of contractor oversight and vendor/service procurement processesKnowledge of UGV and BOLO processes with ability to cover Mail Room functions when requiredExperience with conference room scheduling and helpdesk services including basic IT troubleshootingUnderstanding of client dress-code guidelines and ability to maintain professional appearance standardsKnowledge of emergency response procedures including handling threatening calls and bomb threats.Location: Onsite
